Events Specialist

Pay Range: $20.19 – $24.03 per hour
Reports to: Events Operations Manager & Director of Marketing & Communications

Job Summary:

The Jekyll Island Authority is seeking an Events Specialist with excellent communication skills and a passion for events. Ideal candidate must be a team player and solid communicator. Under the supervision of the Events Operations Manager, the Events Specialist will provide support for Jekyll Island events by assisting with a variety of administrative and event-specific tasks, including support for festival/event planning and execution, as well as vendor and sponsor coordination. The Events Specialist will answer and handle general event department inquiries, coordinate team and stakeholder meetings, assist with billing, and general event administrative tasks. The Events Specialist will be responsible for monitoring timelines and reviewing promotional materials and will assist with event execution. The Events Specialist must be capable of multi-tasking and collaborating with multiple departments and on multiple projects at once.

Description: 

  • Participate in the management and implementation of all aspects of each designated event produced/coordinated by the JIA, including setup, on-site production, and take down.
  • Collaborate in the creation of technical diagrams such as floor plans, maps, and other layouts as needed for seating, decorations, event exhibits, and displays.
  • Collaborate on sponsor, volunteer and vendor recruitment, including coordinating and completing applications as well as organizing all aspects of their involvement.
  • Assist other JIA departments as needed with the planning of events to develop and maintain harmonious working relationships and event standards.
  • Coordinate and monitor event timelines and ensure deadlines are met, including scheduling stakeholder meetings for event walk-throughs.
  • Schedule and book speakers, vendors, talent, volunteers, and participants, ensuring clear communication of their involvement in event.
  • Prepare event supplies including nametags, gift bags, registration lists, seating cards, invitee lists, RSVP lists, etc., and maintain inventory list of all event supplies.
  • Manage general billing needs including insertion orders, purchase orders, invoices, and contracts.
  • Provide exceptional customer service to clients, patrons, vendors, and guests.
  • Patrol event sites alongside Events Operations Manager to respond to crowd management situations in a prompt and decisive, professional, and diplomatic manner when necessary.
  • Strong organization and oral and written communication skills required.
  • Exceptional collaboration and interpersonal skills required.
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor’s degree in marketing, business administration, event management or hospitality and tourism with a minimum of two years experience, event management experience preferred. Strong internship experience will be considered in lieu of partial work experience. OR
  • Associates degree in marketing, business, or hospitality and tourism with a minimum of four years relevant experience, event management experience preferred.
  • Must be familiar with coordination of volunteers, vendors and sponsors, ticketing, and booking talent.
  • Proficient in all Microsoft Office programs; Eventeny, a plus.
  • Must have exceptional organizational skills, attention to detail, ability to manage several priorities at once, be a creative problem solver, can work independently with minimal supervision and have an aptitude for planning and following designated assignments.
  • Regular and predictable punctuality and attendance of scheduled hours is required.
  • Work may require extended and/or irregular hours including nights, weekends and holidays, as needed.
  • Driver’s license required.

Physical Requirements/Working Conditions:

  • Exert up to 20 pounds of force occasionally and a negligible amount of force constantly to move objects.
  • More than 50% of the typical workday will be spent sitting, however, certain periods will require more than 50% of the day spent walking and standing.
  • Less than 25% of the day is generally spent stooping; bending body downward and forward at the waist, and crouching; bending body downward and forward by bending leg and spine. Certain periods will require more than 25% of the day stooping and crouching.
  • Must have visual clarity for both close range work such as computer use and reading and distance such as operating motor vehicles and determining the accuracy, neatness, and thoroughness of work assigned.
  • Sensory abilities required include vision, touching and feeling with more than 50% of the day spent communicating including talking and hearing.
  • Required to perform work both inside and outside.  Exposure to extreme heat, high humidity, and occasionally adverse weather conditions as well occasional extreme cold.
  • Will be exposed to hazards such as moving vehicles.
  • Noise levels are considered normal to loud, will be subjected to loud, above ambient noise level.
