Title Insurance Intern

Reports to: Recording and Escrow Manager
Department: Post Closing
Location: Bayside, NY 11361 (Onsite)
Classification: Temporary, Non-Exempt
Schedule:

  • Summer Program: Full-Time (35–40 hrs/week, 10–12 weeks)
  • Compensation: $18/hour

Position Summary

The Title Insurance Intern – Post Closing supports the Escrow and Recording teams by assisting with the processing, tracking, and finalization of legal documentation related to title transactions. This internship provides hands-on experience in a regulated, deadline-driven environment and serves as a training ground for potential future employment in the title insurance industry.

Essential Duties & Responsibilities

Document Management & Recording:

  • Breakdown, scan and route incoming closing packages and legal documents; upload files to appropriate locations, ensuring accuracy and efficiency of record location
  • Create Trello cards for each incoming order to track county, due date, and document type
  • Prepare and process recorded documents for mailing, ensuring proper cover sheets and client info
  • Send confirmation emails to clients for completed recordings

File Integrity & Compliance:

  • Conduct quarterly reviews of file cabinets to verify closed status, identify missing items, and escalate problem files
  • Perform basic document corrections for resubmission and update folders accordingly

Escrow & Operational Support (As Needed):

  • Assist with executing escrow payments, refunds, or file follow-ups based on transaction deadlines
  • Communicate with external parties such as examiners and county offices to gather needed documentation
  • Provide general administrative support to Post Closing and other operational departments

Required Qualifications

  • Recent graduate or currently enrolled college student (rising juniors/seniors preferred)
  • Strong attention to detail, with proven organizational and time management skills
  • Effective written and verbal communication skills
  • Demonstrated ability to handle confidential information with discretion
  • Comfortable navigating software systems (e.g., Outlook, Trello, Microsoft Excel, Google Workspace); prior exposure to Tracker Pro a plus
