Office Assistant

Job Title: Front Desk Administrative Assistant / Customer Service

Gym Skills is seeking high-energy, passion-filled, and customer service–motivated individuals who love working with kids and enjoy watching them learn and grow! We are a fast-growing gymnastics facility looking to add highly motivated team members who can help us deliver a warm, welcoming, and exceptional experience for our families.

POSITION OVERVIEW:

The Front Desk Administrative Assistant / Customer Service Representative is the first point of contact for families, visitors, and staff. This role is responsible for delivering outstanding customer service, managing administrative tasks, and maintaining a welcoming and efficient front desk environment. Responsibilities include processing payments, collecting and organizing signed waivers and enrollment forms, and ensuring accurate data entry into the system. This position also plays a key role in supporting smooth class and lobby transitions by guiding families to the appropriate areas, answering questions, and helping both parents and children feel comfortable and informed. A successful candidate is highly organized, detail-oriented, personable, and able to multitask in a fast-paced environment.

Work Schedule: ● Availability:

● Monday – Thursday: 3:30–8:00 pm

● Saturday: 8:30 am–1:00 pm

● Birthday Parties (Saturday & Sunday): 12:00–5:00 pm

● Must be available to work 2–3 days per week, including Saturdays and Sundays.

Customer Service

● Greet families, visitors, and staff with warmth and professionalism

● Answer phones, emails, and in-person inquiries promptly and clearly

● Provide information on classes, events, policies, and enrollment procedures

● Build relationships with families and address questions or concerns with care

● Support new families in the enrollment process and class transition experience

Front Desk & Lobby Operations

● Process class registrations, payments, and refunds accurately

● Collect, verify, and organize waivers and required enrollment forms

● Ensure smooth transitions in and out of classes by managing flow and guiding families

● Maintain a clean, organized, and welcoming front desk and lobby environment

● Monitor attendance and assist with class rosters and schedules

● Cross train to be able to operate the Smoothie Bar

● Provide support during busy lobby times, helping new families feel welcomed and informed

 

Administrative Support

● Assist with data entry, reporting, filing, and other office duties

● Help create and distribute flyers, schedules, and communication to families

● Support coaches and team members by relaying messages and coordinating class needs

● Help plan, prep, and support seasonal events, promotions, and special programs

Qualifications & Experience

● Minimum 2 years’ experience in a front desk, customer service, or administrative support role

● Experience working in a fast-paced, customer-oriented environment

● Excellent interpersonal and communication skills (in-person, phone, email)

● Proficient with computers and quick to learn new systems

● Experience with or ability to learn iClassPro software

Physical Requirements

● Ability to sit, stand, and walk for extended periods

● Able to lift light objects (e.g., office supplies, under 25 lbs)
