Sales Coordinator - Wholesale

We are seeking a passionate, hardworking, and driven individual to join our team as a Sales Coordinator within the Wholesale Division. This role plays a vital part in supporting our Sales Representatives with a wide range of daily activities essential to the sales process. The Sales Coordinator is responsible for maintaining an accurate list of available products—including direct shipments—keeping customer documents up to date, managing the cash drawer and daily checkout reports, and handling various office responsibilities, including communication with customers.

Qualifications/Skills:

  • Education - High School or GED equivalent
  • Preferred Experience – 3 years of sales experience or related college degree in lieu of direct sales experience

Key Responsibilities:

  • Process and manage wholesale orders from entry through delivery
  • Communicate with wholesale clients regarding orders, product availability, and status updates
  • Support the sales team with reporting, presentations, and customer materials
  • Maintain accurate customer and sales data in CRM and order systems
  • Coordinate with internal teams (logistics, production, finance) to ensure timely fulfillment
  • Monitor inventory levels and flag potential stock issues
  • Assist with onboarding new wholesale accounts and maintain account records
  • Respond to customer inquiries and resolve order-related issues
  • Prepare and distribute wholesale line sheets, catalogs, and samples
  • Support sales events or market appointments, as needed

Job Duties

  • Answer incoming calls and either assist the caller or transfer calls to the proper extension.
  • Maintain the Wholesale Availability spreadsheet with updated truckloads and product information.
  • Assist Sales Representatives by generating quotes, sales orders, and returns as needed.
  • Regularly update and report freight rates from DAT Rateview to team members.
  • Work with computers, cash, checks, credit cards, and payment processing terminals.
  • Complete daily checkout and cash drawers as needed.
  • Serve as liaison between GWM Wholesale staff and payment processing services, such as Bluetape.
  • Gather and maintain a library of product information including but not limited to – images, shipping information, product specifications and warranty information when applicable.
  • Contact customers via phone calls, texts, and/or email to ensure that account information and documents are updated.
  • Print or email documents within Bistrack as needed internally or for customers.
  • Monitor and Update Open SO and Production Smartview Board and communicate with customers and team members as needed.
  • Update Internal Notes whenever making changes to any quote or sales order.
  • Scan paperwork into Scan Track and review it to make sure it is accurate.
  • Communicate with Division Manager and other office staff as needed.
  • Other duties as assigned.

Job Type: Full-time

Salary: $17 - 20 per hour - depending on schooling and work history.
