About the Role

This newly created role is perfect for a recent college graduate eager to dive into the world of consumer goods and executive support. As the Administrative Assistant to our Leadership Team, you’ll play a central role in keeping things running smoothly balancing calendar management, team communications, and special projects with energy and precision.

What You’ll Do

As the Administrative Assistant supporting our Leadership Team, your responsibilities will include:

  1. Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements
  2. Screen and prioritize incoming communications (emails, calls, and mail), responding or redirecting as appropriate
  3. Prepare and edit correspondence, presentations, reports, and other business documents
  4. Coordinate logistics for meetings, events, and conferences—managing agendas, meeting minutes, and follow-ups
  5. Handle confidential and sensitive information with a high degree of discretion
  6. Liaise with internal departments and external partners on behalf of the leadership team
  7. Track and reconcile expense reports, invoices, and maintain administrative records
  8. Assist with budget tracking and project timeline coordination
  9. Perform general administrative tasks such as data entry, and office organization
  10. Proactively identify and implement improvements to streamline office operations
  11. Greet and direct in-person guests; ensure visitor compliance with sign-in protocols and regulatory requirements
  12. Answer and direct incoming phone calls to the appropriate person or department
  13. Manage scheduling and use of company conference rooms and vehicle reservations
  14. Support facility security at our York location, including creating employee badges, tracking supplies, and ensuring protocol compliance
  15. Provide administrative support for internal committees, such as FRESK, Community Relations, and Health & Wellness

What You Bring

·   Bachelor’s degree preferred; recent graduates encouraged to apply

·   Proven experience in an Administrative Assistant, Executive Assistant, or similar role supporting senior leadership (internship or relevant academic experience considered)

·   Skilled in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools

·   Excellent organizational, time management, and multitasking skills

·   Strong written and verbal communication skills

·   Professional interpersonal skills and polished, business-ready appearance

·   Ability to manage multiple priorities with accuracy and efficiency

·   Comfortable working independently with minimal supervision

·   High level of professionalism, discretion, and confidentiality

·   Ability to lift to 20 lbs. as part of general office duties
