Recreation Coordinator

The Recreation Coordinator, through delegation of responsibility from the Director of Parks and Recreation, supports the development, coordination and delivery of multifaceted recreational programs, events and services and day-to-day operation tasks for the Parks and Recreation Department.  The Recreation Coordinator responsibilities will encompass program development, facility rentals, sponsorship coordination, and administrative support.

This is a full-time, 40-hour-per-week position. Standard work hours are Monday through Friday, 8:00AM to 4:30PM; however, evening, weekend, and occasional holiday hours are required based on event schedules.

Supervision

Supervise seasonal Camp Staff

Essential Duties

  • Oversee the planning and execution of all borough recreation programs including securing instructors, developing curriculum, managing registration, and communicating with participants
  • Oversee the planning and execution of K.I.D.S. Camp themes, trips, visitors, and daily games and activities.
  • Source and secure a diverse array of new vendors including food trucks, bands, event entertainment that will expand the department’s offerings and enhance the overall experience for event attendees.
  • Identify and research potential sponsors, partners, and donors to support department initiatives, park projects, programs, and events.
  • Maintain the facility rental program for the Stover Lodge, park pavilions, Park at 4th, Quakertown Pool, Memorial Park, and Cedar Grove Park including inquiries, rental applications, event execution, and logistics.
  • Maintain detailed records of all rental agreements, payments, client interactions, and ensure accurate financial tracking and reporting.
  • Assist with the planning, promotion, and execution of major borough events including the Sounds of Summer Concert Series, Halloween Parade, Trunk or Treat, Egg Hunt, and Shop with a Cop. Help coordinate logistics, secure volunteers and vendors, and support on-site operations including set up and breakdown.
  • Manage a high volume of phone and email inquiries, assisting with registrations, ticket sales, QuakertownRec webpage, and general department information
  • Maintain program databases and participant records, ensuring accuracy and data integrity.
  • Evaluate program participation and feedback to inform improvements and future planning.
  • Assist with day-to-day tasks as needed within the parks and recreation department.
  • Engage with community members to gather feedback, address concerns, and promote programs and events.
  • Represent the organization at community events and engage with local stakeholders.

Job Location

  • This position is mainly located at the Quakertown Borough Municipal Building, although, there is traveling off site to various locations within and outside the Borough.

Knowledge, Experience, Education & Training

  • Bachelor’s degree in Recreation Management, Communications or equivalent experience in a related field.
  • Experience in a leadership role preferred.
  • Considerable knowledge of the Borough’s parks and recreation system.
  • Ability to plan, organize, and prioritize work while managing multiple deadlines in a continually changing work environment.
  • Ability to be creative in troubleshooting and resolving technical issues.
  • Ability to use sound judgment in decision-making and to work independently.
  • Ability to work a flexible schedule due to weekend and evening events.
  • Proficient in math with excellent analytical skills.
  • Outstanding attention to detail and organizational abilities.
  • Extensive knowledge of operating a computer, printer, calculator, copier, and software applications including Windows and Microsoft Office.
  • Ability to quickly learn new software including Eventbrite and MyRec.
  • Outgoing personality, affinity for working with people, ability to communicate effectively, and maintains professional working relationships with Borough officials and employees, contractors, developers, engineers, attorneys and the general public.
  • Ability to represent the Borough of Quakertown with a professional appearance and demeanor.

Physical Requirements

  • Ability to sit for a minimum of 4 up to 6 hours and move about the department and/or building for 2-4 hours a day. Ability to stand and move about an event for 5-10 hours a day.
  • Ability to bend, stoop, squat, reach above shoulder level, kneel, lift, push and pull up to 10% of the day for filing and other office procedures.
  • Ability to lift and carry from 10–45 pounds of materials up to 20% of the day for filing and other office procedures. Ability to carry more than 40 pounds of materials for events for 50% of the day.
  • Ability to use both the right and left hand for firm grasping, repetitive actions and fine manipulation.
