HR & Operations Support Aid

Job Title: HR & Operations Support Aid (Part-Time, Onsite)
Location: Guardian Angel Settlement Association
Schedule: 3 Days per Week (24 Hours Total)
Compensation: $15-17.00 per hour
Reports To: Senior Director of Operations
Status: Part-Time, Non-Exempt

Position Summary:

The HR & Operations Support Aid supports the daily functions of the Operations department through HR, administrative tasks, policy documentation, vendor coordination, and internal process support. This onsite role requires strong organizational skills, discretion with confidential information, and the ability to take initiative in a dynamic environment.

Key Responsibilities:

  • Assist with HR administrative tasks including employee records maintenance, onboarding/offboarding support, and compliance tracking
  • Prescreen job candidates by reviewing applications, conducting initial phone screens, and coordinating interviews
  • Support the drafting and updating of policies and procedures under the direction of the HR/Operations team
  • Maintain and organize internal documents, files, and operational workflows
  • Prepare reports, spreadsheets, and documentation using Microsoft Excel
  • Maintain confidentiality in handling personnel and organizational information
  • Open, sort, and scan incoming mail; distribute electronically or physically as needed
  • Provide general support for daily office operations and administrative functions
  • Contact and coordinate with external vendors for services, supplies, and facility needs
  • Track and follow up on vendor performance, invoices, and service agreements
  • Assist in planning and executing internal initiatives and process improvements
  • Collaborate with team members to ensure smooth operational functions across departments
  • Perform data entry and reporting tasks; familiarity with Paycor and Salesforce is a plus

Qualifications:

  • Proven experience in an administrative, HR, or operations support role
  • Proficiency in Microsoft Excel and other MS Office applications
  • Strong written communication skills, including policy and procedure writing
  • Ability to handle confidential information with discretion
  • Excellent organizational and time management skills
  • Forward-thinking and proactive with the ability to work independently
  • Experience contacting and coordinating with vendors
  • Familiarity with Paycor (HR/payroll system) and Employee Navigator is a plus

Work Environment:

  • This position requires onsite presence 3 days per week (totaling 24 hours); schedule to be determined with supervisor
  • Standard office environment with physical requirements including sitting, typing, and occasional lifting of supplies
