Executive Assistant to the CEO

We at Envisagenics are looking for a Spanish and English-fluent (reading/writing/speaking) Executive Assistant to the CEO to join our growing team. The Executive Assistant will serve as a key member of the executive team and will be responsible for handling all administrative duties pertaining to the CEO, inside and outside the office. Duties will include scheduling meetings via Outlook, drafting prep documents for meetings, coordinating transportation for the CEO, tracking CEO receipts, scheduling and coordinating with personal staff and family members, and assistance with event planning.

Our ideal candidate will have a strong work ethic and be capable of thriving in a high growth, fast paced and intellectual environment. Some of your interviews will be in Spanish. You must actually be native speaking or fluent to get this job. Please do not apply otherwise.

This job will require you to be present in the Long Island City office 5 days per week for roughly the first month. Eventually, after your training is complete, your schedule will become more flexible, and the in-office requirement will drop to three days per week. Work hour requirements will vary depending on the schedule of the CEO. Hours will be irregular--you must be available when the CEO wants you to be available. This is not a regular 9-5 job; if you need standard, regular working hours, please do not apply.

Responsibilities

  • Manage the schedules and time commitments of the company's executive team using Microsoft Teams, iCal, Zoom.
  • Coordinate communications, including phone calls, emails, and interactions with clients with attention to detail. This will necessitate professional, written communications in Spanish and English.
  • Schedule meetings, manage calendars and personal appointments, and manage travel itineraries.
  • Prepare internal and external documents for the Envisagenics’ partners.
  • Arrange and help to plan company events and meetings.
  • Maintain an organized paper and electronic filing system.

Qualifications

  • Proficient in Microsoft Office (especially Outlook calendars). If you are not technologically savvy, this job will be very challenging for you.
  • Ability to speak/write/read Spanish fluently.
  • Ability to collaborate in a fast-paced work environment.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills.
  • Friendly and professional disposition.

Preferred Background

  • Previous experience working at a startup company
  • At least two years of previous work as an Administrative Assistant or Executive Assistant
