Executive Assistant

JOB DESCRIPTION

Title: Executive Assistant                                                          Status: Full Time
Reports to: VP of Sponsorship                                                  Location: Barnesville, GA
Salary: $45,000                                                                         Schedule: M-F, 9AM-5PM

Little Children of the World seeks an Executive Assistant to join the team in its holistic ministry for children, based in Barnesville, GA, and operating in Dumaguete City, Philippines. The ideal candidate will demonstrate spiritual depth, willingness to learn, and a commitment to teamwork.

Constituent Relations

  • Answer phone calls, emails, and other constituent communications with a kind and gracious manner
  • Effectively provide accurate information to constituents regarding their queries and escalate any questions or concerns to the VP of Sponsorship that cannot be immediately addressed
  • Maintain confidentiality of the constituent giving data and organizational operations
  • Receive constituent gifts (financial and in-kind) via mail or in person
  • Generate and send bi-monthly receipts via mail or email
  • Assist in preparing printed documents or other publications for mail
  • Send thank you letters, birthday cards, thinking of you cards, etc. at the request of the VP of Sponsorship or President & CEO
  • Represent the organization at speaking engagements and other events

 

Data Entry

  • Accurately enter constituent giving data in daily deposit batches in Raiser’s Edge software
  • Accurately transcribe in-kind donations and box values into Excel as needed
  • Add all constituent communications as Actions in the Raiser’s Edge System
  • Enter new sponsors, new donors, and new sponsored children into Raiser’s Edge
  • Process credit card transactions for constituent contributions as requested by phone, email, or mail

 

Office Management

  • Assist in maintaining staff shared calendars
  • File documents in the correct folders, binders, or digital shared drive
  • Keep a record of office supply stock and request or place new orders in a timely manner

 

Other Duties

  • Assist the VP of Sponsorship with projects as needed including but not limited to sponsor correspondence, maintaining sponsorship records, etc.
  • Answer internal communications via email and Teams
  • Attend the weekly staff meeting and other meetings as needed
  • Run local errands including but not limited to the post office, bank, and others 
  • Maintaining your personal documents and calendar
  • Other duties as assigned or identified

Preferred Qualifications

  • Demonstrated ability to manage and prioritize multiple administrative tasks with accuracy and attention to detail
  • Proven experience handling sensitive information with discretion and confidentiality
  • Experience using data entry systems like Raiser’s Edge or similar with a commitment to maintaining accurate, timely and mission-critical data. 
  • Demonstrated ability to communicate clearly and professionally with diverse stakeholders via phone, email, and in-person interactions
  • Experience working effectively as part of a small team, including examples of collaboration and flexibility in shared tasks
  • Experience using Microsoft Office and a willingness to learn and utilize collaboration tools (ex: Teams, Outlook, One Drive)
  • Commitment to cost-conscious decision-making and resource stewardship
  • Experience managing logistics for events, meetings or donor engagements
  • Professional or volunteer experience working in nonprofit organizations or churches
  • Demonstrated ability to grow through feedback, reflection and intentional learning
  •  Bachelor’s degree preferred; equivalent relevant experience in administrative, nonprofit, or ministry settings also considered

 

Required Qualifications

  • A committed, ecumenical Christian faith, as evidenced by active participation in church and a life of prayer
  • Exceptional organization and record keeping skills with a commitment to stewardship and long-term accountability
  • Willingness to learn and adopt new technology tools Raiser’s Edge software, Microsoft Office, and collaboration platforms such as Teams
  • Ability to manage calendars, correspondence, and meeting logistics independently, while ensuring proactive communication and timely follow-ups in alignment with office expectations
  • Willingness to travel or run errands on behalf of the organization with consideration for stewardship and cost-efficiency
  • Valid driver’s license and reliable car
  • Collaborative working style underscored by a willingness to be part of a small team 
  • Ability to communicate professionally with gratitude and warmth
  • Joyful heart for service: Demonstrated history of serving others with a positive attitude, humility and enthusiasm–even in routine or behind-the-scenes tasks. 
  • Trustworthiness: can be counted on to maintain confidentiality, handle contributions and access to constituent giving data

  • Passion for working with children and families in poverty
  • Humble and approachable demeanor with the ability to be assertive when needed
