Wildland Fire Training Coordinator Assistant

Wildland Fire Training Coordinator Assistant, Natural Resource Technician 3 (NRT3)
Full-time, Non-permanent, Represented position
Anticipated Non-permanent is July 2025 - June 2026
Location: Pacific Cascade Region- Castle Rock, WA
Salary: $3,393.00 - $4,517.00 Monthly

Responsibilities:

  • Assist with compiling monthly Visa logs assigned to the PC Region Fire Staff. Check for completeness, obtain a signature from the District Manager, and scan the completed and signed Visa log to PC Accounting.
  • Ensure all Fire Program IIRs and SRIs are complete and reviewed by the District Manager and submitted as required by policy.
  • As requested and directed, draft official correspondence for review, approval, and then distribute as appropriate.
  • As requested, send directed mailings (regulation, prevention, etc.).
  • As requested, schedule meetings, events, trainings, and plan for appropriate logistics.
  • Maintain external and internal contact lists and ensure that all correspondence goes to the appropriate parties.
  • As directed by requested, draft cost recovery letters for signature, and then distribute them as appropriate.
  • Process payments for cost recovery fires
  • Ensure all Fire Program-related Public Disclosure Requests, legislative, executive management, region management, and other data requests are met as required by policy and law.
  • Assists with all hosted individual fire training records and ensures they have been updated with training and experience
  • Print Incident Qualification Cards for signature and distribute to individuals.
  • Assists with training rosters, course set-up, certificates, and reporting trainings completed
  • Assist in other areas as needed and qualified (Dispatch, Finance, Operations, Prevention, Reception, Fire District Assistance, etc.).
  • Computer Skills -Uses various databases, word processing, spreadsheet, and presentation software, such as MS Office to create and maintain databases, spreadsheets, charts, graphs, letters, and other documents, using mathematical formulas to calculate data, link worksheets, import data, edit table, columns, format sections, create headers and footers, and work with pictures and draw objects. Compose, send, and respond to email, and use email functions such as calendar and meeting requests.

Required Qualifications: 
 

  • At least one year of office, administrative, or clerical support experience.
  • Experience using software applications such as Microsoft Word, Excel, SharePoint, and Adobe products.
  • Experience organizing, prioritizing, and working within tight schedules and timelines with attention to detail.
  • Technical proficiency in data entry and data management.
  • Strong oral, written, and interpersonal communication skills, including demonstrated ability to clearly articulate information to a variety of audiences.
  • Customer service skills.
  • Commitment to fostering and supporting an environment that honors diversity, equity, inclusion, and environmental justice practices.
