Responsibilities:

GovTact is seeking a detail-oriented and highly organized Operations Specialist / Executive Assistant to provide direct support to the Chief Operating Officer (COO) and broader Operations team. This hybrid role combines high-level administrative support with critical operational functions including timekeeping compliance, travel coordination, training tracking, and internal communications. The ideal candidate thrives in a fast-paced environment, demonstrates excellent follow-through, and has a proactive approach to problem-solving and multitasking.

 

Key Responsibilities:

Executive Assistant Support (COO-focused):

  • Manage the COO’s calendar, schedule meetings, and coordinate logistics with internal and external stakeholders.
  • Track priorities and deadlines to ensure follow-through and accountability on tasks and strategic initiatives.
  • Prepare agendas, meeting notes, and follow-up actions for executive-level meetings.
  • Support COO with ad hoc requests, reporting, and administrative projects.

Operations Support:

  • Work closely with the SVP and Payroll/HR Specialist to support timekeeping and contract compliance.
  • Monitor daily timekeeping entries and complete weekly reconciliation of hours for all employees.
  • Communicate proactively with team members to ensure compliance with internal time entry expectations and customer deadlines.
  • Create and manage travel itineraries for team members; troubleshoot travel-related issues as needed.
  • Process and reconcile expense reports for travelers after business trips.
  • Support the Director of Compliance in maintaining and updating the GovTact corporate training tracking portal.
  • Follow up with employees to ensure timely completion of required corporate training modules.
  • Assist in preparing internal reports, dashboards, and audit-ready documentation.
  • Provide cross-functional administrative support to Operations, HR, and Compliance teams.
  • Other administrative and operational duties as assigned.

 

Desired Qualifications:

  • Bachelor’s degree required.
  • 1–2 years of experience in operations support, administrative assistance, or a similar role.
  • High attention to detail, organization, and ability to manage multiple competing deadlines.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong interpersonal skills and ability to communicate professionally with internal stakeholders across all levels.
  • Must be able to work 100% onsite at Tysons Corner, VA.

 

  • Preferred Qualifications:
  • Experience in government contracting, staffing, or professional services.
  • Familiarity with timekeeping systems, travel booking tools, or expense platforms.
  • Experience with HR or compliance tracking tools is a plus.
