Scheduler/Administrative Assistant

Job Title: Scheduler/Administrative Assistant

Pay:

Weekly pay $35-45/hour depending on experience and qualifications

Position Summary:

We are seeking a highly organized, detail-oriented, and proactive Scheduler/Administrative Assistant to support our team with event staffing, scheduling, administrative duties, and employee coordination. This role plays a critical part in ensuring smooth operations by managing schedules, ensuring compliance with company policies and labor laws, and supporting various HR and administrative functions. The ideal candidate will be a strong communicator, adept at multitasking, and committed to team success.

Key Responsibilities:

Scheduling & Event Support

  • Build and maintain detailed schedules for events and staff coverage.
  • Ensure adequate staffing for all scheduled events.
  • Attend and work at least 4 events per month to understand staff duties, roles, and needs.
  • Serve as a point of contact during events for staffing-related issues.
  • Complete and submit a summary spreadsheet report after each event for invoicing and quality control. 

Compliance & Record Keeping

  • Conduct daily reviews of timesheets and break sheets for accuracy and compliance with labor laws and company policies.
  • Track staff attendance and report discrepancies or concerns.
  • Assist in monitoring and recording staff training completion.
  • Follow up on documentation needs such as benefit enrollment, training verifications, or policy acknowledgments.

Communication & Coordination

  • Make calls to coordinate and schedule employee trainings.
  • Follow up with employees or departments regarding missing or incomplete documentation.
  • Assist in preparation and distribution of the monthly newsletter.
  • Attend and contribute to weekly team meetings and other relevant meetings.

Administrative & HR Support

  • Assist with onboarding and hiring processes as needed.
  • Support training and employee development initiatives.
  • Perform various administrative tasks including document management, data entry, and internal communications.
  • Provide general support to team leadership and HR functions.
  • Work in office as needed to support Administrative/HR team in filing and document retrieval.

Qualifications:

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Prior experience in scheduling, administration, or HR support roles strongly preferred.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and manage shifting priorities.
  • Excellent verbal and written communication skills.
  • Strong computer skills, including proficiency with Microsoft Office (Excel, Outlook, Word, Teams).
  • Familiarity with scheduling software or HRIS platforms is a plus.
  • Ability to work evenings or weekends as required for event support.
  • Willingness to obtain a Guard Card (training provided).

Work Environment:

  • This is a hybrid role in a home office environment with occasional on-site event duties and occasional in office work.
  • May require standing or walking for extended periods during events.
  • Flexible schedule needed, including occasional evenings/weekends.

All employment begins with 90-day probationary period during which only part time hours may be available.
