Scholarship Coordinator - SCC Educational Foundation
Under the direction of the Executive Director of the SCC Educational Foundation, the Scholarship Coordinator plays a key role in managing the Foundation’s scholarship program and coordinating special events that support fundraising and engagement efforts. This full-time regular position is responsible for the strategic cultivation and stewardship of scholarship funds, ensuring donor contributions are allocated according to intent while fostering meaningful donor relationships. Additionally, the coordinator plans and executes special events that enhance the Foundation’s visibility, strengthen donor engagement, and drive financial support. This position is funded by the SCC Educational Foundation.
Essential Functions
Scholarship Management:
- Oversee the implementation of Foundation scholarships and collaborate with the Executive Director on the scholarship processes.
- Work closely with the Executive Director by reviewing scholarship criteria and account balances annually.
- Manage and maintain the scholarship program, including sending out letters and certificates to donors twice per year.
- Compile, analyze, and distribute aggregate financial scholarship data to enhance donor communication efforts. Collect and organize scholarship fund data to properly steward donors, ensuring impact reporting and student appreciation correspondence. Prepare endowment gift reports and maintain consistent engagement with donors throughout the year through scheduled follow-ups.
- Lead efforts to automate and streamline the scholarship tracking system for donor gifts, ensuring accurate data entry and maintenance of the scholarship donor database. Collaborate with department leaders to set and implement scholarship goals and objectives, while establishing effective record-keeping processes. Provide exceptional customer service by addressing donor inquiries and concerns regarding scholarships, guidelines, and procedures.
- Manage student donor thank-you letters, ensuring ongoing communication between donors and scholarship recipients.
- Coordinate the annual foundation scholarship solicitation process by maintaining a master calendar and researching potential scholarship opportunities.
- Collaborate with the Executive Director to prepare and submit proposals for scholarship funding and leverage data analysis tools such as Raiser’s Edge to collect and interpret relevant data.
- Coordinate with financial aid, academic departments, college leadership, and donors to facilitate scholarship processes.
- Maintain accurate records and prepare reports on scholarship disbursements and impact.
Donor Relations & Stewardship:
- Ensure proper acknowledgment and recognition of donors through reports, communications, and events.
- Develop strategies to engage donors and enhance relationships.
Special Event Planning & Execution:
- Plan, coordinate, and execute special events, including scholarship recognition ceremonies, potential fundraising/Foundation galas, Give to Lincoln Day, and the annual Foundation/SkillsUSA golf tournament.
- Collaborate with vendors, staff, and volunteers to ensure seamless event execution.
- Work with the Marketing Department to develop event marketing materials, invitations, and communications.
- Manage event budgets, logistics, and post-event evaluations.
Community & Student Engagement:
- Promote scholarship opportunities to students and faculty through workshops, presentations, and outreach initiatives.
- Coordinate with marketing and communications teams to increase awareness of scholarships and events.
Administrative & Reporting Duties:
- Maintain accurate records of scholarships, donors, and event participation. Prepare reports for the Foundation Board and external stakeholders as needed.
- Ensure compliance with applicable regulations and policies related to scholarships.
Other Duties:
- Work with the Administrative Assistant, Executive Director, and Director of Advancement in the planning, development, and distribution of the quarterly Foundation e-newsletter.
- Assist with gathering, writing, and editing content, including donor spotlights, student success stories, event and scholarship highlights, and funding updates. Coordinate with various departments and stakeholders to collect relevant information and ensure the timely submission of articles.
- Work with the Marketing department on formatting, layout, and design, ensuring the newsletter aligns with the Foundation’s branding and communication goals. Provide other support as needed for the Executive Director.
Work Environment:
- This position operates in an office setting with occasional travel and event-related activities requiring physical effort, such as lifting and setting up materials.
Minimum Qualifications
- Bachelor’s degree in Business, Nonprofit Management, Marketing, Communications, or another closely related field.
- Experience in scholarship administration, event planning, or fundraising.
Salary
$55,000 per year
Benefits
SCC BEN Dollars – Eligible Employees: Full-time status. Regular employees with an FTE of 0.75 or greater will be eligible for SCC Ben Dollars. All employees will be required to elect a health insurance option. If the cost of insurance coverage selected by an employee exceeds the SCC Ben Dollars available, all additional costs will be withheld from the employee’s paycheck. Any SCC Ben Dollars that the employee does not elect to use for the purchase of dependent health and dental insurance will be paid to the employee in cash at $0.93 per $1.00 benefit dollar. All amounts paid are subject to withholding for income and employment taxes, but not subject to the College’s contribution toward the Retirement Savings Plan – Group Retirement Account (GRA).
Schedule
Normal working hours for this full-time regular position are scheduled between 7:00 a.m. and 5:00 p.m., Monday through Friday, requiring a minimum of a 40-hour work week, based on a 260-day work calendar. Scheduled special activities, emergencies, or temporary schedule changes may require hours outside of the regular workday or workweek.
