Description
This is responsible clerical work in the Circuit Civil Court Operations Division, for the Administrative Office of the Courts (AOC), involving heavy public contact. The position works under general supervision and provides information to other divisions and the general public, regarding activities conducted at the courthouse and related facilities, location of departments and other offices, applying significant knowledge of departmental rules, regulations, procedures and areas of responsibility. Duties also involve furnishing general information as required. Work is performed within established procedures but carried out with some independence.
Responsibilities
- Provides customer service by operating a multi-line switchboard at the main desk for the AOC at the Dade County Courthouse; updates voice mail, checks and relay messages to appropriate personnel.
- Assists in-person visitors by responding to inquiries regarding case information and court hearings.
- Monitors and replaces signs weekly in the main lobby of the courthouse.
- Records, compiles, and retrieves information. Researches case information utilizing computer databases.
- Reports copier readings to Procurement as necessary.
- Receives and distributes mail.
- Maintains copies of and updates court directories.
- Provides assistance by maintaining and updating the Info booth digital display showing judicial events and courtroom assignments.
- Uploads court information on a weekly basis to the monitor in the lobby of the courthouse.
- Provides information on Circuit Judges, Civil and visiting judges and relocation information for judges including changes in courtroom and chamber assignments.
- Assists with office moves and furniture repair documentation.
- Acts as liaison with the Procurement office for distribution of publications to judges, ordering blank orders and supplies for unit. i.e., Juror certificates.
- Orders office supplies for the AOC offices in the Civil Division.
- Maintains accurate list of emergency preparedness items requested and delivered to judges in the Division.
- Assists with Emergency Duty phone distribution.
- Assists with the preparation of the emergency judges’ list and alternate lists; and related information published in the Daily Business Review.
- Assists the Program Coordinator in the Certified Process Server Program with maintaining and updating the active list of certified Process Servers.
- Provides information to court users and litigants requiring the services of a Process Server.
- Assists in the certification and recertification of Process Servers by receiving applications, taking photographs, assisting with administration of exam and coordination of the swearing in ceremony.
- Assists in the processing, coordination and distribution of For Want of Prosecution (FWOP) notices of hearing/orders.
- Performs other routine clerical duties such as opening and distributing incoming mail, data entry, filing, faxing, and photocopying.
- Performs related work as required.
Qualifications
- High school diploma or GED. Associate's degree preferred.
- Two (2) years of experience in business administration, performing office, legal secretary, paralegal work, or customer service.
- Associate’s degree may substitute for one (1) year of experience.
Knowledge, Skills and Abilities (KSAs):
- Bilingual in English/Spanish preferred.
- Knowledge of business English, spelling, punctuation and arithmetic.
- Knowledge of court and program procedures.
- Knowledge of modern office practices, procedures, equipment and systems.
- Ability to understand and carry out oral and written instructions.
- Ability to make minor decisions in accordance with established policies and procedures, laws and regulations, and to apply these to work problems.
- Ability to develop and maintain cooperative and effective relationships with all individuals contacted.
- Knowledge of personal computer software and applications – Microsoft Office Outlook, Word and Excel.
- Ability to meet and deal effectively with the judiciary, court administrative staff and the general public, and to use tact and good judgment.
- Ability to communicate clearly and concisely, orally and in writing.
- Excellent customer service skills.

Physical Demands:
- Work involves a significant amount of standing, walking, sitting, talking, listening, balancing, stooping, and reaching with hands and arms; must be able to transfer up to 10 pounds.
