Kerem Shalom – Administrative Assistant
Overview
Kerem Shalom, a vibrant, progressive, 250-household synagogue in Concord, Massachusetts, seeks an energetic and organized individual to be a 30 hour/week Administrative Assistant (AA).
The AA will provide support for our school, community dinners and celebrations, general operations, and other activities. They will help ensure that Kerem Shalom is a warm and welcoming place for members, visitors, and guests. While the work primarily will be done during weekday business hours, the AA will be asked to work on some evenings and Jewish holidays, as well as at times on Sunday morning. The AA will report to the Director of Education and Engagement, and work collaboratively with the Temple Administrator as well as with the Rabbi, Cantorial Soloist, Director of Adult Programming, and, at times, our lay leadership. The position will be non-exempt for purposes of the Fair Labor Standards Act.
Responsibilities
Specific responsibilities will include but will not be limited to:
Managing records for the school and the synagogue: Working under the supervision
of the DEE, the AA will be responsible for creating and maintaining up-to-date student
records and class lists in the synagogue database (Salesforce) and email lists (Constant
Contact) used to communicate with families. In addition, working collaboratively with the
Temple Administrator, the AA will create and maintain records on synagogue members
and have primary responsibility for generating letters thanking donors for contributions to
Kerem Shalom.
Managing logistics for the school and the synagogue: The AA will have primary
responsibility for logistics, including ordering food and materials, setting up serving
tables, and overseeing servers and helpers for a variety of events. These include
community-wide holiday celebrations and special events, monthly community dinners,
monthly pizza dinners for Hebrew School families, weekly pizza dinners for 7th grade
students, and Holiday Preschool and Kindergarten, which are held monthly on Sunday
mornings. In many cases, the AA also will track RSVPs for events.
Assisting with communications: Working with the Director of Education and
Engagement, the AA will help prepare and distribute the weekly Hebrew School
newsletter and teacher updates for parents and caregivers. They also will help prepare
and disseminate information about annual school registration, family programs, special
events, and youth and family Shabbat programs. In addition, the AA will help ensure thatinformation about upcoming events and activities posted in the atrium and lobby is
appealing and up to date.
Providing Administrative Support: The AA will help ensure that the synagogue has
adequate supplies and materials for classes and other activities. In addition, they will
work with the Temple Administrator around building coverage, maintenance appointments
and the associated documentation requirements, as well as other administrative
responsibilities.
Serving as a welcoming presence: The AA is expected to be present when our Hebrew
School is in session and at select Kerem Shalom events; occasionally these events occur
on weekends or Jewish holidays. For our Hebrew School, the AA is expected to welcome
and greet parents, caregivers, and children at the front door and be available to answer
their questions; monitor the phone, track student attendance; help set up name tags and
other needed materials and call parents or caregivers if needed. For community-wide
events, the AA will help welcome people and also follow up with guests interested in
learning more about Kerem Shalom.
Skills Required
Proficiency with Microsoft Software (Word and Excel) and familiarity with Google Drive
(Docs, Sheets, Slides, Forms).
Proficiency with, or ability to learn, Salesforce and Constant Contact.
Organizational skills: ability to prioritize, take initiative and work independently or as a
member of a team as required.
Strong written and verbal communication skills,
People skills: ability to connect with individuals and families, adults and children alike,
both formally and informally.
Adaptability: Flexible and able to adjust to changing priorities and demands.
Respect for confidentiality of sensitive information.
Familiarity with Jewish customs and celebrations and enthusiasm for learning about
Jewish life.
Education/Experience
Nonprofit, customer service experience preferred.
High school Degree required; Associate’s or Bachelor’s Degree preferred.
Synagogue or other Jewish organizational experience is a plus.
Work Schedule
This position is primarily in person at Kerem Shalom.
The position is expected to be 30 hours/week; the specific work schedule will be agreed
to between Kerem Shalom and the AA.
During the school year, the AA will be expected to work on Monday evenings and some
Sunday mornings.
Occasional presence on the weekend or Jewish holidays may be required.
Salary/Benefits
$22-to-$25/hour, depending on experience
