Matanky Realty Group, a prominent player in commercial real estate since 1955, is looking for an Administrative Assistant / Brokerage Sales Support Coordinator to support our executive leaders.

Responsibilities:

  • Serve as administrative support for the CEO and the Senior Vice President of Brokerage and Leasing
  • Streamline communication across all office departments – marketing, leasing, executive, property management, accounting, legal.
  • Run punch list for commercial lease renewals, onboarding of new listing relationships, and tenant contacts
  • Maintain meticulous records of internal and external listing information and files, ensuring accessibility and accuracy.  Records are kept in both electronic and paper form.
  • Cooperate with marketing coordinator with direct mailing campaigns targeting potential buyers and tenants, adhering to prescribed guidelines.
  • Allocate ad call responsibilities to sales team members, update CRM (Salesforce, HubSpot), and facilitate information management to support deal progression.
  • Act as reception and switchboard for portion of each day and as needed.
  • Act as lead for office schedules of the executives, coordinate Teams meetings and other calls.

Requirements:

  • Handshake Applicants:  1-2 years of proven proficiency in general office administration, ideally within the real estate sector.
  • Demonstrated ability to multitask effectively while maintaining focus on overarching objectives.
  • Mastery of the Microsoft Office suite, underpinned by a keen eye for detail.
  • Highly proficient in DocuSign, Adobe and other standard office softwares.  Familiarity with Procore, Salesforce, HubSpot, Sage 300 and other softwares helpful.
  • Real estate experience is preferred, underscoring a nuanced understanding of industry dynamics.
  • Flexibility in approach, coupled with exceptional customer service and problem-solving prowess.
  • Capacity to thrive independently amidst the hustle and bustle of a rapidly evolving environment.
  • A sense of urgency and a track record of exemplary follow-up skills are essential attributes.
