Guidance Secretary

Qualifications:

  1. Must possess High School Diploma.  Some college preferred.
  2. Technology proficient.
  3. Working knowledge of basic office procedures and the operation of common office equipment and machines.
  4. Possess excellent customer service skills.
  5. Takes instructions and work well with others.
  6. Deomonstrates a genuine passion for working with children
  7. Experience with Office Professionals Programs including Microsoft Office Suite, Power School and a willingness to learn different computer programs.

 

Reports to:     Principal

 

Supervises:    Student helpers, volunteers, special clerical assistants and students as needed.

 

Job Goal:      

 

To respond quickly to inquiries from staff, the public, etc. to provide requested information and/or referral to other parties as requested by the principal, and providing general clerical support as needed for principal.  

 

Performance Responsibilities:

  1. Answers multiline telecommunication system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages for principal.
  2. Assists other personnel for the purpose of supporting them in the completion of their work activities.
  3. Distributes mail, supplies, messages, menus, keys, etc. for the purpose of disseminating materials to appropriate parties.
  4. Evaluates situations (e.g. involving other staff, students, parents, the public, police, probation department, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  5. Greets public, parents, students, vendors, etc. for the purpose of responding to their inquireis and/or directing them to the appropriate personnel.
  6. Performs record keeping and a broad array of general and program specific clerical functions (eg. scheduling, copying, faxing, etc.) for the purpose of supporting principal and/or site with necessary materials as may be required.
  7. Processes documents and materials for the purpose of disseminating information to appropriate parties.
  8. Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety issues as needed.
  9. Schedules a variety of activities (eg. meetings, work orders, vendors, travel arragements, staff coverage, facilities usage, etc.) for the purpose of assisting in meeting staff needs and supporting the principal.
  10. Performs other reasonable functions as requested by the principal.

 

Terms of Employment:                    

 

200-day contract. FMSD (S4) Salary Schedule. 7 hours per day. Non-exempt.

 

Evaluation:  Performance on this job will be evaluated annually in accordance with provisions of the board's policy on evaluation of non-certified personnel.
