Real Estate Operations Manager
Location: Atlanta, GA (Required)
Mission:
We are seeking a dynamic and highly capable Operations Manager to lead our people and processes towards operational excellence across our short-term (including Airbnb) and long-term rental property portfolio. You will oversee daily operations, manage both onsite and remote teams (including offshore VAs, contractors, and renovation crews), and ensure all tasks—from guest communication and tenant support to maintenance projects and renovation timelines—are completed efficiently, effectively, and reliably.
Core Responsibilities:
Operational Execution & Oversight:
Oversee the end-to-end daily operations of our rental business, ensuring exceptional guest/tenant experiences and maximum operational efficiency.
Implement and manage robust systems for task tracking (using tools like Notion/ClickUp) to monitor critical actions (e.g., guest message response times, maintenance dispatch timelines) and ensure accountability.
Establish clear expectations for task completion (who does what by when) and regularly review performance against these standards.
Initiate and manage tasks aimed at maintaining and enhancing quality standards across all properties.
Develop and manage checklists and oversee maintenance tasks during tenant turnovers and ongoing property upkeep. Coordinate supply procurement (e.g., Home Depot, Lowe's).
People Management & Leadership (Your #1 Priority):
Build, train, mentor, and manage high-performing teams, including onsite staff, contractors, renovation crews, and remote/offshore VAs. Foster a culture of teamwork, ownership, and continuous improvement.
Conduct efficient daily check-ins or huddles to identify potential roadblocks, align priorities, and ensure clarity on individual responsibilities.
Coach team members effectively, providing clear, actionable feedback to help them succeed. Manage performance diligently, including making necessary staffing changes respectfully when standards are not consistently met.
Skillfully handle conflict resolution within your teams.
Process Improvement & Optimization:
Continuously analyze and improve operational workflows. Lead regular process reviews with your team to identify inefficiencies, streamline steps, leverage automation, and implement improvements promptly.
When problems arise, focus not only on resolving the immediate issue but also on identifying and addressing the root cause to prevent recurrence ("Implement permanent solutions").
Maintain thorough and up-to-date documentation: Ensure Standard Operating Procedures (SOPs) are current and accessible (e.g., using Notion). Aim to demonstrably improve operational efficiency (e.g., reduce tenant turnover time, minimize errors).
Proactive Problem-Solving & Decision Making:
Address operational issues with urgency: Tackle pressing matters like tenant disputes, maintenance emergencies, or contractor delays promptly and effectively.
Utilize data and performance metrics to spot trends, prioritize issues effectively, and make informed decisions.
Exhibit a strong bias for action and finding solutions. While careful planning is valued, proactive problem-solving is essential.
Make final decisions on key operational matters, ensuring alignment with business goals and demonstrating resourceful problem-solving to overcome challenges.
Guest/Tenant Communication & Satisfaction:
Ensure outstanding communication with guests and tenants, addressing inquiries and resolving issues promptly and professionally to maintain high satisfaction levels and positive reviews.
Business Development Support:
Identify opportunities for business growth through innovative operational initiatives or enhanced service offerings.
Conduct market research and competitive analysis as needed to inform strategic operational decisions.
Qualifications & Requirements:
Location: Must be based in Atlanta, GA.
Leadership Experience: Minimum of 5 years in hospitality management or property management, with significant experience managing both short-term (e.g., Airbnb) and long-term rentals.
Remote Team Management: Minimum of 3+ years managing remote/offshore teams (VAs, contractors), with a proven ability to motivate, drive performance, and handle performance management effectively.
Execution & Task Management: Proven track record of building and managing systems that ensure high rates of on-time task completion. Expertise with project/task management software (Notion, ClickUp, Asana, etc.). Diligent follow-up habits are essential.
Process Improvement: Demonstrable experience improving operational efficiency or reducing waste by a significant margin in previous roles through process analysis and optimization.
Problem-Solving: Evidence of successfully navigating complex operational challenges (e.g., significant project delays, budget variances, critical service issues). Must perform well in fast-paced environments and effectively manage deadlines under pressure.
People Skills: Excellent coaching ability, conflict resolution skills, and the capacity to build a results-driven, accountable team culture.
