Part-Time Admin & Leasing Intern

About Us:
Chatam Management is a privately held commercial and real estate investment firm started in 1983 by Ram P. Gupta, a real estate investor who began his career in 1976. It operates in all phases of real estate business, including management, acquisitions, and finances.

The principles behind Chatam’s longevity is the hands-on approach of our management team, close relationships with partners, lenders, and tenants and our long-term business plan. The company manages over 35 buildings consisting of almost 600 units both residential and commercial tenants and the Gupta Family real estate portfolio consists of properties all over the United States, including strip-centers, office and mixed-use/apartment buildings throughout the tri-state area.

About the Role:
Chatam Management Co Inc is seeking a motivated and detail-oriented Part-Time Admin & Leasing Intern to support our team. This paid, year-long internship offers hands-on experience in office operations and real estate leasing. The internship will take place in-office at our Williamsbridge Road location in the Bronx.

Position Responsibilities:

Provide general administrative support including answering phones, managing correspondence, organizing files, and scanning documents.

Assist the leasing team with preparing leases, maintaining tenant records, and updating mailing records.

Track and manage Certificates of Insurance (COIs): send renewal reminders, update internal trackers, and upload documents to Appfolio and company drives.

Retrieve lease renewal lists, calculate preferential rents, verify security deposits, and prepare lease renewal packets for mailing and filing.

Monitor rent arrears by generating delinquency reports, identifying overdue accounts, and mailing certified rent reminder letters.

Initiate legal holdover cases by compiling and sending lease copies, payment ledgers, and certified mail receipts to legal partners.

Draft commercial and deregulated leases under supervision, referencing templates and incorporating specific instructions.

File utility bills, tax documents, and mortgage letters in appropriate property folders.

Contact tenants to follow up on outstanding rent payments and missing lease documentation.

Qualification & Requirements

Candidate must be pursuing their bachelor’s degree

Strong organizational and time management skills.

Excellent communication and interpersonal skills.

Ability to multitask and handle various administrative duties efficiently.

Proficient in Microsoft Office (Word, Excel, and Outlook).

Bilingual in Spanish is a plus but is not required

Previous experience in an office setting or interest in real estate is a plus but not required.
