About the Role
We are seeking a highly organized and detail-oriented Temporary Program Coordinator to provide immediate support across our administrative, event, and communications work. This is an internally focused role with opportunities to contribute externally through events and stakeholder communications. The ideal candidate is a strong communicator, quick learner, and team player who can take ownership of tasks and keep things moving behind the scenes.
This person will work closely with our Program Managers and CEO to support events, meetings, communications, and general office operations. If the match is right, there is potential for this role to transition into a long-term or permanent position.
Key Responsibilities
Administrative & Operational Support
· Provide administrative support for meetings, events, event series and conferences
· Manage shared inboxes, contact lists, and event registrations
· Maintain digital file systems (OneDrive, SharePoint)
· Update records and enter data (Excel)
· Support event committees and planning groups as needed
· Prepare meeting materials and reports
· Coordinate event schedules, reminders, and internal communications
Event & Meeting Coordination
· Support logistics for in-person and virtual events, including site/vendor coordination, catering, A/V, and registration
· Assist with setup, check-in, and on-site or day-of event logistics
· Draft and send confirmation emails, reminders, and follow-ups (Mailchimp and Eventbrite)
· Track and organize registration data and post-event reporting
· Coordinate committee and event volunteers.
· Support the Program Managers in the development and execution of programs
Communications & Marketing Support
· Draft and edit newsletters, LinkedIn posts, and event announcements
· Support updates to the website (Squarespace) and social media channels (LinkedIn)
· Archive Zoom recordings; create simple graphics or infographics (Canva, Vimeo)
· Monitor communications and engagement metrics
Stakeholder & Board Support
· Respond to inquiries from members, partners, and attendees
· Prepare board or committee materials and help coordinate meetings
· Support program-specific outreach and follow-up tasks
Qualifications
Required:
· Strong organizational skills and acute attention to detail
· Excellent written and verbal communication
· Ability to manage multiple tasks and deadlines independently
· Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
· Experience with email marketing platforms, CRMs, and/or event platforms (e.g., Mailchimp, Eventbrite, Zoom)
· Demonstrated ability to learn new tools quickly
· Ability to develop effective work plans, organize details, set priorities, and meet deadlines.
Preferred:
· Familiarity with nonprofit or mission-driven work
· Experience with Monday.com, Squarespace, Adobe and Canva
· Prior experience supporting events, communications, or membership programs
