Administrative Assistant

 

ADMINISTRATIVE ASSISTANT (COMMUNICATION COORDINATOR)

☐ Temporary ☒ Full-time ☐ Part-time

Pay Range: $20.33 – $29.90

POSITION SUMMARY

To support the church by providing administrative assistance in Outreach, Spiritual Formation, Congregational Care, and Intercultural Ministries.  This includes verbal and written communication, event coordination, the creation of promotional materials, and database management.

ESSENTIAL JOB FUNCTIONS, DUTIES AND RESPONSIBILITIES

Outreach & Spiritual Formation

  • Offer administrative assistance to the Associate Pastor of Outreach and Spiritual Formation.
  • Coordinate administrative support for events including Faith Mission Sundays, retreats, the All-Church Camp, the Christmas Market, adult classes, and Life Groups. 
  • Keep records of interest, participation, and attendance in various programs, teams, and events.
  • Maintained prospect lists and managed workflows for new members’ classes, the welcome team, and visitor follow-up.
  • Monitor registrations and payments for events like mission trips, classes, and retreats.
  • Organize meetings on the master calendar as necessary
  • Create and oversee mailing lists

 

Congregational Care

  • Provide administrative support for Congregational Care ministries, including memorial services, weddings, lay counseling, Stephen Ministry, support groups, Eaton fire response efforts, Seminarian Care Committee, Voyagers, and other related activities.
  • Keep the church membership records updated using Planning Center or other church management software.
  • Offer administrative support for Deacons, including maintaining and updating “flock” lists, ministry schedules, and printing training materials.
  • Offer administrative support for the Parish Associate of Pastoral Care as agreed.
  • Schedule meetings on the master calendar as necessary, including Lay Counseling, Stephen Ministers, and Deacons.

Intercultural Ministries

  • Offer administrative support to the Pastoral Associate for Intercultural Ministries.
  • Coordinate administrative support for cultural celebrations such as the Lunar New Year, Mid-Autumn Festival, and World Communion Sunday. 
  • Support the planning and execution of community engagement events and partnerships through cross-cultural workshops and collaborations.
  • Maintain and manage files, records, and databases for the ministry.
  • Engage with leaders and volunteers from diverse cultural groups to support projects and events.

Communications Coordinator

  • Provide communications support for Congregational Care, Outreach, Spiritual Formation, and Intercultural Ministries.
  • Create promotional materials (print, social media, web content) for events and ministries.
  • Prepare printed materials such as brochures, signage, programs, handouts, and bulletins for events.
  • Keep photographic records of LCPC and ministry partners for use in publications.
  • Engage and collaborate with Faith Missions Partners about events, publications, and annual evaluations.
  • Use various channels for communication (Constant Contact, LCPC website, Planning Center, etc.)
  • Ensure that the Information Centers and display racks feature appealing, current information about LCPC ministries and events.

 

General Administrative Support

  • Assist in maintaining the church management database and systems (including support during the transition from ShelbyNext to Planning Center).
  • Coordinate and supervise volunteers who help with mailings, data entry, and special projects.
  • Equip volunteers with the tools, information, and training necessary to complete tasks effectively.

Other

  • Ensure strict confidentiality in all job aspects.
  • Carry out other departmental and church-related duties and responsibilities as requested.

 

POSITION REQUIREMENTS

  • Commitment to Jesus Christ as Lord and Savior and devotion to God.
  • Commitment to the church's mission: To be and make disciples of Jesus.
  • Commitment to the church’s beliefs outlined on the church’s website and related documents.
  • Commitment to attend services at La Cañada Presbyterian Church is preferred but not required.

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Ability to fully embrace the mission, vision, and values of LCPC.
  • Familiarity with, or a willingness to learn about, the church’s ministries.
  • Demonstrated proficiency in Microsoft Office applications such as Word, Excel, PowerPoint, and Adobe products like InDesign and Illustrator, web browsing skills, and the ability to learn additional software.
  • Knowledge of various media for developing promotional materials, including web, print, digital, and Constant Contact, and the ability to learn additional platforms.
  • Experience with church management software, such as Planning Center or ShelbyNext, is preferred.
  • Knowledge of how to recruit and motivate volunteers, communicate project goals, and encourage volunteers to achieve those goals.
  • Demonstrates excellent organizational, time management, and prioritization skills with the ability to multitask.
  • Excellent oral and written communication skills, along with strong relational abilities with church congregants, visitors, ministry partners, vendors, and staff members.
  • The ability to create promotional materials, including ads, banners, slides, study guides, and ministry booklets.
  • Capability to lead promotional events both internally and externally.
  • Demonstrates the ability to work efficiently, effectively, and independently, while also collaborating with teams in a positive and solution-oriented manner.

 

 Physical Expectations

  • Must be capable of walking, climbing stairs, reaching, bending, or stretching.
  • Must be able to lift upwards of 15 pounds at a time.
