
Nonprofit Administrative Coordinator
Position Summary
We’re looking for an individual who’s interested in supporting our non-profit. Your multitasking skillset will be challenged managing daily operations, developing connections to support fundraising, community partnerships, event coordination, volunteer management, answering emails, phone calls and most of all bringing a ray of happiness to the families we serve. This position is the key person for volunteers and families to connect with.

MISSION STATEMENT
Empower. Support. Connect. To support families in the Neonatal Intensive Care Unit {NICU} through facilitated support groups, provide grants for insured families who spend 4 weeks or more in the NICU to help obtain therapies that support the wellbeing of their child(ren) or to ease the burden of medical debt. Love for Lily provides services and essentials to help families to thrive during and after life in the NICU.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Data Entry & Salesforce Updating:
- Entering new donors, volunteer, and family information in Salesforce in a timely manner.
- Keeping invoices & donations up to date for Bookkeeper
- Track and categorize spending through Amazon, PayPal, Pirate Ship, etc.
- Entering and categorizing donations received.

Assisting with Essentials Bags and Gifts:
- Keeping inventory and ensuring we do not run out of Essentials Bags
- Acquiring and organizing items: Ordering when needed and tracking expiration dates.
- Researching different companies and consistently making donation requests for essential’s bag items and holiday gift items
- Sending out Thank you cards, birthday cards, etc. in a timely manner
- Scheduling Wisdoms on Mama the App

Communicating with families, donors, hospitals, etc.
- Sending check-in texts
- Responding to questions
- Connecting individuals to relevant resources
- Distributing surveys to families, medical teams, conference attendees
- Send email each month regarding group schedule & updates

Shipping & Keeping up with orders
- Making labels and packaging orders for volunteer packs, JellyCats, etc.
- Ensuring also orders are sent out in a timely manner, keeping the team on track.

Volunteer support
- Assisting with volunteer event planning and keeping track of volunteer tasks that need to be done.
- Supporting Volunteer Coordinator to ensure volunteer kits are ready and supplies are sent out as needed.
- Tracking total volunteer hours through out the year.

Job Requirements
EDUCATION AND EXPERIENCE/QUALIFICATIONS
- The ability to communicate clearly and effectively.
- Comfortable on the phone with all types of individuals
- Writing Letters; whether writing letters to potential donors, thank you notes, making requests, or communication with the families we serve, communication in writing is key.
- Thinks strategically with the ability to put plans into action
- Proficient at calendar coordination
- Organized and detail oriented
- Willingness to learn and grow in this role
- Innately models the care, compassion, and support reflective of Love for Lily’s values and mission.
- Experience with programs:
- Microsoft office & teams experience
- Salesforce experience is a plus, must have a willingness to learn
- Canva experience or similar software is a plus, but not necessary
COMPENSATION
This is a paid position 40 hours a week compensation starting at $16 – $18 per hour.
