Coordinator of Communications and Administrative Support

Position Summary:
LifeWise StL is seeking a Coordinator of Communications and Administrative Support who will ensure seamless communication both internally and externally. This individual will be responsible for capturing and presenting the face of the organization, supporting staff needs, and ensuring the administrative and technological backbone of the agency remains efficient and effective. The Coordinator also serves as assistant to the President/CEO and acts as a key liaison to the Board of Directors.


Primary Duties and Responsibilities:

Communications and Marketing:

  • Draft engaging written content for internal and external communications, including social media posts, email campaigns, flyers, brochures, and website updates.
     
  • Plan, schedule, and publish content consistently across multiple platforms (e.g., Facebook, Instagram, LinkedIn) to ensure timely promotion of programs, events, and organizational news.
     
  • Maintain a content calendar to coordinate messaging, track deadlines, and ensure coverage of all key initiatives.
     
  • Manage the LifeWise StL website (WordPress), including content updates, event postings, and page maintenance; coordinate with the web design company for larger changes or technical issues.
     
  • Take photos at agency events and programs and collect photos from staff; perform basic editing to ensure high-quality, mission-aligned imagery.
     
  • Collaborate with the Director of Development & Marketing to develop content for the quarterly newsletter.
     
  • Coordinate with freelance and volunteer graphic designers to pair written content with appropriate visual assets.
     
  • Ensure all communications align with LifeWise StL’s brand voice and messaging guidelines.


Administrative & Staff Support:

  • Update and maintain essential agency documents, such as organizational charts and internal phone lists.
     
  • Post all agency job openings on various platforms and job boards, ensuring accuracy and timely updates.
     
  • Support the hiring process by proofreading job descriptions and coordinating with departments on interview scheduling and candidate communication.
     
  • Facilitate onboarding and offboarding processes related to technology access and general agency orientation.
     
  • Coordinate logistics and agendas for all-staff and directors’ meetings.
     
  • Manage agency-wide calendars and departmental wish lists.
     
  • Order business cards and name tags for staff.


Liaison Duties:

  • Serve as the primary point of contact for the Board of Directors, supporting meeting logistics, tracking attendance, coordinating materials, and maintaining smooth communication.
     
  • Provide executive support to the President/CEO, including drafting documents and presentations; assist with scheduling as needed.
     
  • Act as the internal liaison to the third-party IT support company, communicating technology needs and helping staff troubleshoot basic tech issues before escalation.


IT Support and Management:

  • Provide Level 1 IT support to end users and troubleshoot common software or hardware issues.
     
  • Manage user accounts, email, and Google Workspace access.
     
  • Oversee user permissions, internet usage settings, and digital signage content.
     
  • Retrieve security camera footage when requested.


Miscellaneous:

  • Notarize documents as needed.
     
  • Embrace the collaborative spirit of LifeWise StL, working alongside staff, volunteers, and community partners to enhance our holistic, participant-focused services.
     

Required Qualifications and Skills:

  • Bachelor’s degree in Communications, Marketing, Business Administration, or a related field
     
  • Proven experience in administrative roles with excellent organizational and time management skills
     
  • Exceptional written and verbal communication skills
     
  • Strong interpersonal skills and the ability to interact professionally at all levels of the organization
     
  • Proficiency with Google Workspace (Gmail, Drive, Calendar, etc.) and Microsoft Office Suite (Word, Excel, PowerPoint)
     
  • Basic proficiency in photography and photo editing (e.g., cropping, lighting adjustments, etc.)
     
  • General IT aptitude, including the ability to troubleshoot minor issues and coordinate with IT support
     
  • Notary Public certification or willingness to obtain
     
  • A genuine interest in learning new tools, systems, and processes.
     

Preferred Qualifications and Skills:\

  • Experience managing website content using WordPress.
     
  • Familiarity with social media platforms and content scheduling tools.
     
  • Comfortable working with freelance or volunteer creatives (designers, photographers, etc.).
     
  • Familiarity with calendar management, agency communications, and newsletter production.
