Financial Services Office Administrator

Location: Castle Rock, CO
Employment Type: Full-Time
Salary: $30k-$50k (depending on qualifications)

We are looking for a highly organized and detail-oriented individual to support our daily operations and ensure an exceptional client experience. This role is ideal for someone who is interested in the financial services industry—whether you’re a college graduate seeking hands-on experience or an administrative professional looking for a stable and rewarding position.

 

What You’ll Do:

Office & Administrative Support:

  1. Assist with day-to-day office operations to keep things running smoothly.
  2. Manage scheduling, client communications, and document organization.
  3. Prepare reports, presentations, and financial documents under the guidance of advisors.
  4. Handle mail, filing, data entry, office supply management, and technology and systems upkeep 

Client & Advisor Support:

  1. Serve as a contact for clients—answer calls, respond to emails, and greet visitors.
  2. Assist advisors with client onboarding, paperwork, and account management.
  3. Maintain and update client records in Salesforce and financial systems such as Riskalyze, Emoney, and Salesforce.
  4. Support client meeting preparation by organizing materials, reports, client specific info, and agendas.

Growth & Professional Development:

  1. Gain exposure to financial planning, investment management, and client relationships.
  2. Work closely with experienced advisors to understand financial industry best practices.
  3. Potential for career advancement within the firm, with opportunities to take on more responsibilities over time.

What We’re Looking For:

  1. Previous administrative experience, a recent college graduate, or anyone with an interest in finance, business, or client service and willing to learn.
  2. Strong organizational skills with attention to detail and ability to multitask.
  3. Excellent communication and interpersonal skills.
  4. Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Salesforce is a plus.
  5. A proactive, professional, and client-service-oriented mindset.
  6. Ability to handle confidential information with discretion.
