Job Summary

We are seeking a dedicated and talented Executive/Office Assistant to join our team. The ideal candidate will ensure the smooth running of our work environment by managing administrative tasks for our two Executives, coordinating office resources, and assisting our office manager with day to day tasks. Applicants must be based in Los Angeles, CA or the surrounding areas. This will be a full time in-person role in our El Segundo, CA office. 

 

What You’ll Do

Executive Assistant: 

  • Maintain calendars for two senior-level executives, including booking and confirming large cross-functional meetings across multiple time zones
  • Coordinate the arrival and departure of clients and guests for scheduled on-site meetings, and ensure that conference rooms and meeting areas are maintained in a presentable and fully equipped condition
  • Stay abreast of all projects the company is working on to best support the executive team
  • Assist the Executives with their expenses and credit card reconciliations
  • Handle sensitive information with the highest level of confidentiality and integrity

Office Assistant:

  • Proactively manage and oversee administrative projects from inception to completion, ensuring they are delivered on time and meet organizational objectives
  • Brainstorm and implement office systems and potential workflow efficiencies
  • Manage office & kitchen supplies: order supplies, maintain an organized work environment, and coordinate internal office equipment needs.
  • Assist in maintaining organization & cleanliness in our open work spaces
  • Assist with vendor management and appliance maintenance

 

What You’ll Need

  • Experience as an Executive Assistant
  • Interest & knowledge in office services and operational support
  • Google Suite proficiency
  • Strong organizational and communication skills, with a focus on operational efficiency and attention to detail
  • Ability to prioritize a high volume of tasks and scheduling for numerous executives
  • Team player who excels in a fast-paced, team-oriented setting
  • Ability to manage multiple projects simultaneously in a fast-paced environment
  • Basic knowledge of the production/post-production landscape
  • Problem-solving ability, attention to detail, accuracy, flexibility, and reliability
  • Proactive problem solver who takes initiative and follows through with minimal direction
  • Hospitable and can-do attitude
  • Bonus: An interest in learning more about bookkeeping/accounting, production coordination/assistance, social media management

 

Physical Requirements and Working Conditions:

  • Ability to remain stationary for extended periods while working at a desk or attending meetings.
  • Ability to move throughout the office for coordination purposes, including visiting various departments or handling office services.
  • Occasional lifting or moving of office supplies or materials (e.g., boxes, equipment, or office furniture) weighing up to 25 lbs. (50?)
  • Assistance with office setup for meetings or events, which may involve light physical tasks such as arranging furniture or setting up equipment.
