Sales Coordinator

Sales Assistant 

Lotus Seattle is seeking a highly organized and motivated Sales Coordinator to join our team!  The ideal candidate thrives in a detail-oriented environment, is a strong communicator and loves supporting a fast-paced sales team! The Sales Coordinator provides sales support to Sales Manager and Account Executives for KNWN, KVI and KPLZ.  Must be able to accurately handle the details of contracts, insertion orders, production and promotion orders and other forms, while demonstrating an ability to multi-task and re-prioritize throughout the day. Deadlines continually loom with last minute work often bumping up against those deadlines.  
 

Responsibilities:

  • Establish strong business relationships and act as liaison with advertising agency counterparts and internal departments, including Traffic, Lotus Digital, and Sales.
  • Assist Sales Managers and Account Executives in creating PowerPoint presentations, research information, gathering promotional assets, and approvals within tight deadlines.
  • Knowledge and/or ability to work with Creative, SharePoint and Marketron
  • Create and export reports from our traffic systems and work closely with Traffic to schedule promotional assets.
  • Regular communication with the National Sales Manager and National Agencies.
  • Communicate effectively with multiple departments to coordinate sales packages for sales meetings.
  • Execute all client orders ensuring that they are in compliance with client and station requirements.
  • Respond to all client requests in a timely manner.
  • Print Radio broadcast contracts every morning.
  • Send client times daily.
  • Handle program and commercial changes and issue change notices to clients.
  • Reconcile billing discrepancies with agencies and billing department.
  • Print and prepare reports for Radio meetings (Schedules, etc.).
  • Collect AE Radio monitors for meetings.
  • Ensure Radio media kits are up to date and printed for use.
  • Pull bill reports as requested by Manager.
  • Attendance at Promotional events.
  • Check/update sponsor spotlight schedule with AE’s/productions. 
  • Match updates &revisions with orders in Vcreative.  
  • Manage/update sales program(s) i.e., Rumple.
  • Perform other tasks as directed by the Manager.
  • Complete tasks and requests from Account Executives.

    Qualifications:

 

  • Previous experience in sales support or operational support role
  • Strong organizational skills and ability to prioritize and multi task in a fast paced environment
  • Technical aptitude with knowledge of VCreative, Promosuite and Marketron
  • A great attitude, flexibility and creativity!
  • An understanding of media sales or strong desire to learn about media sales
  • Respect for others and a strong belief that others should do this in return
  • Ability to work within prescribed guidelines without needing close supervision
  • Problem solving skills within established procedures
  • Understanding of when to seek guidance for unforeseen problems
  • Close attention to detail
  • Strong written and verbal communication skills

 

Required Knowledge, Skills and Abilities:

  • Bachelor’s degree in business administration or related field preferred.
  • A minimum of 2-3 years of professional experience is required, experience within the broadcasting industry preferred
  • Strong MS Office skills (Power Point, Excel and Word) required
  • Effective decision-making skills
  • Experience with developing budgets and writing business plans
  • Exceptional organizational skills
  • Exceptional written and verbal communications skills
  • Ability to work under deadlines and in a fast-paced environment
  • Ability to prioritize daily routine and urgent tasks

 Working Conditions and Physical Requirements:

  • Office environment, some repetitive motion required.  May require some travel to station events, valid drivers’ license is required with good driving record.

Compensation Range

$21 - $24 Hourly
