Junior Staff Accountant

Under the supervision of the Accounting Lead, the Junior Staff Accountant plays a vital role in supporting the accounting department by ensuring the accuracy and timeliness of financial record-keeping, reporting, and adherence to accounting standards. Key responsibilities include updating accounts receivable and payable and maintaining precise financial records. Additionally, the position involves preparing financial statements, compiling reports, assisting in monthly and yearly closings, and contributing to budget preparation and monitoring. Ensuring compliance with accounting guidelines and providing support during audits are also essential duties of this role.

 

ESSENTIAL FUNCTIONS:

  • Establish, organize, and maintain files for all assigned projects.
  • Collaborate with Project Managers to ensure timely billing and payments.
  • Submit project invoices to the Project Manager.
  • Upon approval, forward invoices to the designated contact.
  • Follow up with Project Managers to ensure timely return of information.
  • Enter necessary direct and indirect costs for the company and projects.
  • Verify the accuracy of billed and paid figures for all subcontractors.
  • Obtain Project Manager’s approval for subcontractor payments once owner payment is received.
  • Acquire renewal insurance certificates from subcontractors before each payment, if expired.
  • Complete monthly reconciliations between the Project Management Schedule of Values and company books.
  • Adhere to all corporate policies and report any inconsistencies.
  • Perform departmental tasks such as credit card reconciliations and processing company bills.
  • Keep vendor profiles up to date.
  • Provide supplemental reports/documentation to Project Management/Accounting Lead.
  • Assemble and summarize data, prepare reports, and present findings to management.
  • Research and resolve project issues promptly.
  • Take on additional responsibilities as assigned by the department or project.

QUALIFICATIONS/SKILLS:

  • Proficiency in QuickBooks Desktop
  • Strong skills in Microsoft Office, especially Excel and Word
  • Strong analytical skills for financial reporting and budget preparation
  • Effective communication skills for collaborating with team members and responding to inquiries
  • Ability to manage multiple tasks and meet deadlines
  • Capability to resolve issues related to financial transactions and reporting

EDUCATION AND WORK EXPERIENCE:

  • Bachelor's degree in Accounting, Finance, or a related field or minimum of 1-2 years in an accounting-related role
