Executive Assistant

Overview: We are seeking a highly professional and detail-oriented Executive Assistant to support our executive team. The ideal candidate will be a proactive problem-solver with exceptional organizational skills, the ability to manage multiple priorities, and a strong sense of discretion. This role is critical in ensuring seamless daily operations and facilitating the efficiency of our leadership team. 

Key Responsibilities: 

Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones. 

Prepare and organize all paperwork, reports, and materials necessary for meetings. 

Complete and submit credit applications, vendor forms, and other necessary business documents. 

Maintain office supplies within the executive wing, ensuring all materials are stocked and readily available. 

Oversee accommodations and office readiness for executives and clients visiting from out of town. 

Take meeting notes, summarize key action items, and follow up on deliverables as needed. 

Respond to emails and phone calls professionally and efficiently on behalf of executives as directed. 

Handle confidential information with the utmost discretion and professionalism. 

Coordinate travel arrangements, including flights, hotels, and transportation. 

Run work-related errands as required to support executive operations. 

Qualifications & Experience: 

Bachelor's degree or equivalent experience in an executive support role. 

5+ years of experience supporting C-level executives in a fast-paced environment. 

Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software. 

Excellent verbal and written communication skills. 

Proven ability to multitask, prioritize, and work under tight deadlines. 

Professional demeanor with a high level of discretion and confidentiality. 

Strong attention to detail and organizational skills. 

Ability to anticipate needs and proactively address challenges.
