Forfeiture and Administrative Coordinator

This position exists to provide administrative and technical support to operation Majors, Headquarters Business Manager, and the forfeiture program of the Minnesota State Patrol. The forfeiture and administrative coordinator perform administrative and technical duties for the forfeiture program and office duties enabling the upper levels of State Patrol Management to function effectively. 

The purpose of this classification is to perform administrative and technical functions which include, but are not limited to, ensuring adequate information is communicated to district forfeiture coordinators, serving as agency expert regarding forfeiture policy and best practices, reviewing closed forfeiture files to prepare for data submission, provide customer service by answering questions and providing appropriate information, reconciling VISA logs, managing mail, maintain and/or creating of files, operate general office equipment, order and/or maintain office supplies.  This position serves as backup for deposits and ODMAP.

This position plays a key role in the day-to-day functioning of State Patrol Headquarters and all its personnel. 

Qualifications

 

Minimum Qualifications

  • Experience: At least two (2) years of experience in a role that involves specialized knowledge or provides administrative, paraprofessional, or technical support. An associate's degree may substitute for six months of experience, and a bachelor's degree may substitute for twelve months.

  • Time Management & Organization: Ability to handle multiple tasks, prioritize effectively, and stay organized in a fast-paced environment, ensuring deadlines are met despite frequent interruptions.
  • Communication & Customer Service: Strong written and verbal communication skills to interact effectively with both internal and external stakeholders, including answering phones, responding to emails, and providing timely, accurate responses. Must be able to write clear correspondence and reports with proper grammar, spelling and punctuation.
  • Database, Documents, and Records Management: Knowledge of standard computer software program for word processing, spreadsheets, and databases sufficient to create, modify, and protect files. Skills in database management sufficient to set up and run basic queries, review and analyze data, and identify problem areas which may include data, formulas, or security. An ability to create, file, retrieve, and destroy electronic records according to retention schedules. 
  • Spreadsheets: Skills in using advanced spreadsheet features, such as formula creation, to manipulate and sort data, and an ability to teach others how to create and use spreadsheets effectively. 
  • Accounting & Analytical Skills: Skills in accounting sufficient to reconcile differences between invoices, receipts, and purchase orders, and assess needs based upon data and events affecting the account.

Preferred Qualifications

  • Experience & Knowledge of Legal and Policy Frameworks: Experience interpreting and explaining complex statutes, laws, policies, and procedures, with particular knowledge of state government operations and forfeiture laws. Ability to apply this understanding to process forfeiture related claims and solve complex problems.
  • Experience with State Systems & Data Analysis: Familiarity with the State of Minnesota's Statewide Integrated Financial Tools (SWIFT) system and SWIFT Data Warehouse, along with advanced experience in MS Excel to create databases and conduct data analysis. 
  • Organizational Knowledge: Understanding of the Minnesota State Patrol (MSP) structure, policies, and procedures, as well as the legislative process, program budgets, and relevant laws and regulations that govern department functions and personnel. 

Physical Requirements

Very Light: Requires occasionally moving and transporting such articles as file folders and small tools. May need to maintain a stationary position for long periods of time while carrying out job duties.
