Receptionist

RESPONSIBILITIES:

 

  1. Embrace Playhouse Square values and programs that further Diversity, Equity and Inclusion within the department.
  2. Observe the hours of 8:45AM to 5:15PM and schedule coverage for all prearranged absences.
  3. Answer all incoming calls and direct appropriately; take accurate and complete messages as needed.
  4. Greet, screen and announce all visitors. Ensure that each visitor signs the guest log. 
  5. Become familiar with the functions and activities of Playhouse Square departments and Playhouse Square personnel in order to direct calls immediately and appropriately.
  6. Receive and sign for deliveries and maintain delivery records; inform recipients of deliveries received.
  7. Provide clerical assistance (labels, envelopes, memos, etc.) to various departments as needed.
  8. Assist in preparation of special bulk mailings as requested.
  9. Track weekly attendance and forward all responses appropriately for computer input. 
  10. Maintain the reception area in a neat, clean and orderly manner.
  11. Unlock/lock reception area entrance upon office opening and secure desk area upon office closure.
  12. Train newly hired desk coverage on front desk procedures and keep all relevant and necessary front desk information up to date.
  13. Keep all relevant and necessary front desk information up to date.
  14. Perform other duties as assigned.

QUALIFICATIONS: 

  1. Minimum of one year administrative experience.
  2. Outgoing, people oriented person, with outstanding interpersonal skills.
  3. Excellent communication skills, both verbal and written.
  4. Self-motivated with strong organizational skills.
  5. Knowledge of current PC hardware and software.
