The Office of Audit, Risk and Compliance is seeking an Executive Assistant. This is a full-time (1.00 FTE ), 12-month, professional faculty position.
The Office of Audit, Risk and Compliance (OARC ) strives to maximize the resources deployed toward the university’s core academic, research, and public service missions by identifying ways to promote efficient and effective processes. The OARC also seeks to continually improve the productivity of the Oregon State University (OSU ) learning and work environment by promoting compliant and ethical practices reinforcing the university’s core values of accountability, diversity, integrity, respect and social responsibility. The OARC is overseen by the chief executive of audit, risk and compliance (CEARC ), who reports administratively to the president and functionally to the chair of the Executive, Audit and Governance Committee (EAGC ) of the OSU Board of Trustees.
The executive assistant (EA) reports to and provides executive-level, confidential administrative support to the chief executive of audit, risk and compliance (CEARC ) and the Office of Audit, Risk and Compliance (OARC ).
The EA builds connections and relationships to support the CEARC’s work and the work of all office employees. The position of EA is a critical component within the OARC , setting the office’s tone and professional ethic.
The EA must exercise exceptional interpersonal communication skills, professionalism, collaborative approaches, diplomacy, and sound judgment in responding to institutional representatives, the public, and staff. The position requires strong organizational, writing, and editing skills and a high level of decision-making and judgment on complex and sensitive issues.

Key Responsibilities
60% – Executive Support
• Works directly with the CEARC on various projects and assignments, including assisting in researching various topics, drafting and editing reports, executive-level correspondence, and creating materials for presentations to university officials and professional organizations.
• Edits and formats OARC materials for presentation to the OSU Board of Trustees.
• Provides support for OARC meetings, both internal and with external partners, including scheduling, drafting agendas, assisting in the development of presentation materials, recording minutes or notes, and ensuring follow-up on meeting action items, as needed.
• Provides support for the CEARC’s calendar, including monitoring for maximum efficiency and assessing the need for schedule revisions, coordinating with the CEARC accordingly.
• Provides administrative support to the compliance, audit, and hotline program leaders for events, committee and meeting planning, and board docket submissions.
• Coordinates Enterprise Risk Management preparation meetings with key stakeholders, the Board of Trustees, OSU Leadership, and the President.
• Schedules campus-wide annual risk assessment meetings with key leaders at OSU and the Executive Audit Committee in preparation for Board of Trustees meetings.
• Other duties and projects as assigned.
40% – Office Administration
• Processes office fiscal transactions, including procurement, in accordance with OSU policies and procedures. Presents the reconciled office travel and expense card statement and fiscal and budget reports to the CEARC monthly for approval.
• Evaluate current and prior year office expenses and develop initial budget estimates for the CEARC as part of the annual budget process.
• Manages the process for external auditing contracts and other agreements; verifies all invoices and payment requests are in accordance with contract terms; maintains a database of all contracts to ensure they are valid and current; initiates with central purchasing the request for proposal process before contracts expire.
• Plans events, including scheduling facilities, catering, and reserving equipment, and assists staff in preparing event materials.
• Maintains the office website, making necessary updates and working with the web services group for higher-level changes.
• Manages electronic and hard-copy recordkeeping systems in accordance with OSU record retention policies.
• Oversees office operations, including equipment inventory, office maintenance, phones and conference room coordination.
• Prepares recruitment requests for new personnel searches, places advertisements, schedules interviews, makes travel arrangements, completes required personnel and appointment forms, and coordinates onboarding for new employees.
• Initiates and coordinates annual performance evaluation process.
• Assists in the completion of exit procedures for departing employees.
• Provides supervision support for office administrative or student workers.
• Other duties and projects as assigned.
What You Will Need
• Minimum of three years of experience providing administrative support to a senior leader in a similarly
• complex and confidential environment.
• Demonstrated ability to handle highly sensitive and confidential material/information appropriately, showcasing the trust placed in this role.
• Excellent interpersonal communication skills. Ability to collaborate in a team environment, work with a broad spectrum of constituents, and work independently as necessary, providing ample opportunities for personal growth and development.
• Ability to evaluate priorities in a dynamic setting and manage multiple tasks to plan and prioritize simultaneous projects with strict deadlines effectively.
• Excellent writing skills and attention to detail in drafting, editing, and proofreading a wide range of executive-level communications and documents, such as materials for the Board of Trustees, meeting agendas, technical reports, and executive correspondence.
• Demonstrated commitment to promoting and enhancing diversity, equity, and inclusivity.
• Proficiency with office software applications, including email, calendars, word processing, spreadsheets, and databases.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions, and those in youth programs may have additional criminal history checks every 24 months.

Working Conditions / Work Schedule
This position is based in Corvallis, Oregon and may require, at times, the need to work after hours to complete projects/deadlines.
