Guidance Secretary

The Guidance Secretary plays a vital role in supporting the daily operations of the high school guidance department. This position provides administrative and clerical support to school counselors, assisting with student records, scheduling, communications, and overall office management. The Guidance Secretary also supports college and career preparation efforts by helping distribute information on scholarships, college applications, and standardized testing. The ideal candidate is highly organized, detail-oriented, and able to maintain confidentiality while working in a fast-paced school environment.     

RESPONSIBILITIES: 

  • Serve as the first point of contact for students, parents, and staff in the guidance office.
  • Maintain and organize student records, transcripts, and confidential documents.
  • Assist with scheduling student appointments and coordinating meetings for school counselors.
  • Manage incoming calls, emails, and correspondence for the guidance department.
  • Process and track student enrollment, withdrawal, and transfer records.
  • Support the coordination of standardized testing, college application materials, and scholarship information.
  • Plans and coordinates the annual scholarship night.
  • Assist with compiling and managing data for state and federal reporting requirements.
  • Prepare reports, letters, and other documents as needed.
  • Assist with student data entry and updating information in student information systems, including generating and running reports as needed to support administrative and academic functions district-wide.
  • Provide administrative support for guidance-related events (graduation, parent nights, career fairs, and student workshops).
  • Perform other duties as assigned by the school administration and counseling staff.


MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent required; associate’s degree or relevant coursework preferred.
  • Previous experience in a school setting or administrative role is highly desirable.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Google Suite, Microsoft Office, and student information systems (such as PowerSchool).
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive student information with discretion.
  • Strong problem-solving abilities and the ability to work both independently and as part of a team.

     

START DATE: July 7, 2025

RATE OF PAY:  $26.70 per hour
