AV Office Coordinator

Position Overview We are seeking an organized, energetic, and dedicated individual to join our production team as an AV Office Coordinator. The ideal candidate will possess excellent communication, organizational, computer, and client service skills. This role requires the ability to multitask, work well under pressure, and support various aspects of the AV event production process.
As part of our hybrid work model, you will work from our Atlanta office 1-2 days per week, with additional in-office presence when necessary for event preparation. The remaining days can be worked remotely.
Key Responsibilities
AV Event Support
- Prepare AV equipment prior to shipment and ensure all gear is in working order.
- Set up, operate, and tear down AV equipment at event locations.
- Assist the AV team in determining technical requirements for each event.
- Coordinate external resources and vendors when necessary for events.
- Create detailed technical documentation for equipment setup and usage.
Event Production Support
- Assist the event production team in inputting metadata using archiving software.
- Archive backdated photos and videos, maintaining organization of both physical and digital media.
- Perform any other archival tasks as assigned by the supervisor.
Research and Industry Awareness
- Conduct research on new vendors, background data, and venue information to enhance production planning.
- Stay up-to-date with industry trends, key players, and relevant events by reviewing major trade and editorial publications.
Equipment Maintenance & Inventory Management
- Implement strategic policies for inventory care and maintained of all equipment
- Track and maintain the AV equipment inventory, ensuring all assets are accounted for.
- Support system maintenance and ensure all equipment is functioning properly.
Other Duties
- Ensure cost tracking in accurate and in line with event/company expectations
- Assist with other tasks related to AV event production as needed.
- Attend client meetings when appropriate.
Daily Tasks
- System Maintenance: Ensure AV equipment and software are in working order for upcoming events.
- Asset Tracking: Monitor and track inventory of all AV assets, including equipment, cables, and accessories.
- Project Planning: Collaborate with the production team to ensure smooth execution of events, identifying technical requirements and support needs.
Minimum Requirements
Technical Knowledge:
- Working knowledge of AV equipment, related software, and current trends.
- Familiarity with broadcast-level equipment (e.g., cameras, switchers, audio equipment).
- Experience with video production software such as Adobe Creative Suite (Photoshop, Illustrator, After Effects), Final Cut Pro, or Avid.
Computer Skills:
- Strong PC skills, including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of computer hardware to assist with system troubleshooting and setup.
Administrative Skills:
- Ability to maintain accurate records and track multiple pieces of equipment simultaneously.
- Excellent verbal and written communication skills for liaising with customers, vendors, and team members.
- Ability to organize multiple projects simultaneously, from planning to execution.
- Strong organizational skills to manage logistics, schedules, and resources effectively.
Event or Technical Production Experience
- Previous experience in event or technical production environments, particularly in AV roles.
Physical Requirements:
- Ability to Lift and Carry Equipment: Must be able to lift and carry up to 30-50 pounds of AV equipment such as projectors, speakers, and cables.
- Standing/Walking: Ability to stand and walk for extended periods during event setups, rehearsals, and live events.
- Climbing and Reaching: Ability to climb ladders or scaffolding to install or adjust AV equipment (e.g., mounting projectors, screens, or speakers).
- Manual Dexterity: Ability to handle small components (e.g., cables, connectors, and controls) with precision and care.
Qualifications:
Education:
- High school diploma or equivalent required.
- Bachelor’s degree in a relevant field (e.g., Communications, AV Technology, Media Production) is preferred.
Experience:
- 1-2 years of experience in audio-visual coordination or related fields such as event production, media production, or technical support.
- Familiarity with AV equipment setup, maintenance, and troubleshooting is required. Experience with event management or live event support is a plus.
