Administrative Assistant

Administrative Assistant for Private Finance Company

We are a privately-owned equipment leasing company that specializes in providing financing to businesses (existing and emerging markets including: oil and gas, manufacturing, hospitality, cannabis, etc.). We work out of a small open concept office space in Solana Beach, CA just off Highway 101. We are full-time in office, must have reliable transportation and a positive attitude.

We are seeking an Administrative Assistant with a desire to grow and develop their knowledge and skill set in a fast-paced environment. You will be working very closely with the Credit Department, Contracts Department, and the President of the Company. You will wear many hats and participate closely in several different aspects of the business. 

Our ideal candidate is a problem solver with strong written and verbal communication skills and great attention to detail. Prior experience in a professional office environment is not required, however, a strong understanding of professionalism is essential to success.

Daily Duties may include:

  • Managing a multiline phone system and transferring to applicable contacts
  • Assisting in the Creation of Lease Contracts and Customer Documents
  • Processing Credit Applications and compiling collected information
  • Collecting Certificates of Insurance and liaising with Insurance Brokers to ensure the certificates meet policy requirements
  • Collecting and organizing required business licenses, legal filings, etc.
  • Monitoring and ordering office supplies, reviewing invoices from suppliers to ensure accuracy, and disputing charges when necessary

Skill Sets and Qualifications:

  • Strong written and verbal communication skills
  • Detail-Oriented with a strong ability to manage priorities and meet deadlines
  • Confidentiality is key – we work with very private clients and handle sensitive documents
  • A team player willing to provide support where needed
  • Ability to effectively report to several professionals (each of whom has a unique work style) on a large variety of tasks
  • proficiency in Microsoft Suite and Adobe Suite
  • Sense of Urgency - we are a high volume, fast-paced environment
