Project/Department Assistant - Special Populations
IN THIS ROLE:
Drive impactful projects at Oakland Schools by leading coordination and management, ensuring alignment with our goals and standards. WHAT WE NEED:
- Execute accounting tasks including tracking expenditures, processing purchase orders, reconciling invoices, transferring funds, and updating budgets.
- Maintain and update confidential files, records, and databases.
- Support the development and coordination of operating procedures and unit operations.
- Assist in creating presentations and materials.
- Lead communication efforts within and between departments, providing program and service information to staff and the public.
- Manage and execute events and activities, ensuring smooth coordination and logistics.
- Provide event support, including scheduling, agenda preparation, material assembly, and participant registration.
- Participate in planning, decision-making, and problem-solving with unit members and stakeholders.
- Assist with budget development, management, and documentation for assigned projects.
- Coordinate and manage contracts with independent contractors.
- Oversee travel arrangements for consultants and supervisors to conferences and meetings.
- Manage professional memberships for unit consultants.
- Provide administrative support, including duplicating materials, ordering supplies, and assisting with general tasks.
- Perform other duties as assigned.
WHAT YOU NEED:
- High school diploma or general education degree. Associates degree preferred.
- Two or more years of related experience.
- Experience using Microsoft Office Suite including Excel and Access or other database management software.
- Experience working with Google Forms, Sheets, Docs, Drives, and Hangouts preferred.
- Strong problem solving and critical thinking skills.
- Ability to effectively work with a wide range of individuals and constituencies in a diverse community.
- Ability to work with minimal supervision, and manage work pressures and distractions.
- Knowledge of basic accounting and budgeting
- Knowledge of project management concepts and methods

SALARY DETAILS:
$22.10 - $25.63 hourly based on relevant prior work experience, with the potential to earn up to $27.59 after employment with Oakland Schools.
Non Exempt position / 12-month work year.
