Admissions Office Manager
Watkinson School, offering inventive teaching and learning since 1881, seeks an Admissions Office Manager. Reporting to the Director of Admissions, the Admission Office Manager is an integral member of the admission team, providing support for initiatives related to the student recruitment and enrollment process. The role manages the admission data system while handling daily office operations, ensuring excellent customer service for prospective families, and supporting the admission team in achieving enrollment goals. The Admission Office Manager must exhibit excellent interpersonal, organizational, collaborative and communication skills.
Key Responsibilities
● Database Management:
● Serve as the primary administrator for the admissions database.
● Lead initiatives to identify and implement workflow and systems improvements
to streamline the admissions and enrollment process.
● Maintain accurate applicant records and manage data integrity throughout the
admissions process.
● Oversee and manage technical aspects of the admission process, including
application processing, document management, and logistics.
● Ensure compliance with school policies, data privacy regulations, and industry
best practices.
● Assist in integrating the admissions data with financial aid, student information,
and communications systems.
● Troubleshoot system issues and coordinate with IT for updates and
improvements.
● Maintain confidentiality of sensitive information.
● Office Management:
● Oversee the daily operations of the admissions office, ensuring a welcoming and
organized environment.
● Oversee application processing and document management.
● Manage office communications, including phone calls, emails, and in-person
inquiries from prospective families.
● Lead the planning and execution of admission events, which include occasional
evening and weekend commitments.
● Serve as the primary support staff member for the Admission Office, oversee the
departmental calendar, and offer administrative support to all team members.
● Maintain office supplies, records, and general administrative processes.
● Customer Service and Family Engagement:
● Plan and execute admission events, which include occasional evening and weekend commitments.
● Represent the school to prospective families through timely, thoughtful, and individualized communication as they navigate the admission process.
● Reporting:
● Develop and maintain reports on admissions-related data, producing statistics on
admissions activity, funnel statistics, and enrollment trends.
Qualifications:
● Organized, detail-oriented, able to manage multiple projects simultaneously under varying deadlines.
● Ability to work cooperatively and communicate effectively with all members of the community.
● Proficiency in Excel and the Microsoft Office suite of products and Google platform.
● Familiarity with FileMaker is desirable.
● Excellent oral and written communication skills.
● Knowledge of school processes and procedures is a plus.
