Job Title: Operations Manager
Organization: Volunteers In Public Schools (VIPS)
Location: Baton Rouge, LA
Salary: $48,000 per year

Job Description:
The Operations Manager ensures the smooth and efficient daily operations of the organization. This position involves managing administrative processes, financial systems, technology platforms, and fundraising efforts to advance the organization's mission. The Operations Manager is responsible for maintaining systems, workflows, and infrastructure to ensure operational excellence while cultivating donor relationships to sustain funding for V

Responsibilities:

Operations Management:

  • Oversee the daily administrative functions of the organization, ensuring smooth and efficient operations including answering the phone, and preparing and making bank deposits
  • Manage and optimize operational systems, processes, and workflows to enhance organizational effectiveness.
  • Monitor budgets, track expenses, and produce financial reports in collaboration with the Executive Director.
  • Using QuickBooks, maintain accurate accounting systems for financial transactions, reporting, and reimbursements.
  • Coordinate technology platforms and ensure their effective integration, including donor management software, project management tools, and other operational systems.
  • Manage communications platforms such as Constant Contact for newsletters, updates, and outreach campaigns.
  • Oversee record-keeping and compliance for funding reports, such as Title I reporting and reimbursement processes.
  • Maintain organizational materials, office supplies, and vendor relationships.

Fundraising and Donor Cultivation:

  • Collaborate with the Executive Director in planning and executing fundraising initiatives, donor engagement campaigns, and events.
  • Cultivate relationships with existing and prospective donors through outreach, communications, and stewardship efforts.
  • Use donor management software (e.g., GivePulse) to track contributions, donor history, and fundraising campaign results.

Prepare and produce donor appeals and impact reports using platforms such as Canva and Constant Contact.

  • Assist in strategizing and implementing new fundraising approaches to meet annual goals.
  • Maintain accurate donor records and financial documentation related to fundraising campaigns.


 

Qualifications and Skills:

  • Bachelor’s degree required; background in business administration, nonprofit management, or a related field preferred.
  • Proficiency in the following software:
    • QuickBooks (budget and financial tracking).
    • GivePulse or similar donor cultivation/fundraising software.
    • Constant Contact (email marketing).
    • Microsoft Excel (financial and operational analysis).
    • Canva (graphic design and marketing).


 

Experience in fundraising or donor cultivation experience/or willing to learn

Exceptional organizational skills with attention to detail.

  • Strong verbal and written communication skills.
  • Time management skills with the ability to prioritize and meet strict deadlines.
  • Technical proficiency to troubleshoot and maintain integration of systems/platforms.
  • Analytical and problem-solving mindset to improve operational functions.
  • Ability to work collaboratively in small teams and wear multiple hats.
