Technical Operations Coordinator

We are seeking a highly organized and detail-oriented Technical Operations Coordinator to oversee asset allocation, stock management, customer support, and operational logistics. This individual will play a pivotal role in ensuring seamless equipment delivery, maintenance, and documentation for both internal and external stakeholders. The ideal candidate will be proactive, customer-focused, and able to manage multiple tasks efficiently in a fast-paced environment.

 

Responsibilities

  • Asset and Equipment Management:
    • Allocate assets and prepare equipment based on operational requirements.
    • Track and manage the inventory of systems, including deployed systems and critical spare parts.
  • Procurement and Inventory:
    • Order parts and equipment based on system BOM (Bill of Materials).
    • Ensure critical stock is available and shipped out promptly to address customer or operational issues.
  • Shipping and Logistics:
    • Oversee the shipment of equipment, ensuring all items are properly secured, photographed, and documented before shipping.
    • Manage shipment tracking and ensure timely delivery of all assets.
  • Documentation and Support:
    • Create and maintain comprehensive documentation for new systems.
    • Develop and send troubleshooting guides to customers upon request.
  • Customer Engagement and Accounts:
    • Respond to customer requests for quotes on spare parts and additional equipment.
    • Ensure customers renew maintenance contracts and are invoiced for services received.
  • Operational Oversight:
    • Maintain records of customer equipment and ensure tracking systems are up to date.
    • Collaborate with internal teams to address and resolve operational challenges.

Required Qualifications

  • 4 year college degree, preferably in Natural Sciences
  • Organizational Skills: Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Customer Service: Strong communication skills and a customer-focused approach.
  • Detail-Oriented: Precision in documentation, stock tracking, and shipping procedures.
  • Technical Tools: Proficiency in MS Office, inventory management software, and CRM systems.

Preferred Qualifications

  • 2+ years in operations coordination, technical support, or a related role.
  • Technical Knowledge: Familiarity with system BOMs, inventory tracking systems, and troubleshooting guides.
  • Prior experience in a technical or manufacturing environment.
  • Knowledge of maintenance contracts and invoicing processes.
  • Familiarity with equipment packing and logistics best practices.
  • Familiarity with Windows OS and basic applications.

Employment Type
