Operations and Finance Manager

OPERATIONS AND FINANCE MANAGER 

 

Position: FLAP is seeking to hire a full-time Operations and Finance Manager (“OFM”) responsible for FLAP’s day-to-day operations and finances. In this role, the OFM will play a pivotal part in achieving the organization's mission and goals by working closely with the organization’s bilingual chief executive officer, the development and communication’s team and the legal and advocacy department to develop, implement, and evaluate a sustainable operations and finance’s plan.

 

Compensation: FLAP comprehensive benefits package includes a 401k plan, 100% coverage of health insurance premiums (including prescription drugs) and 99% coverage for dental and vision insurance, with a minimal 1% employee contribution for dental and vision coverage. Employees also have general liability, mal practice (including management liability, employment practices liability and lawyers’ professional liability coverage), social security, unemployment compensation, vision and workers’ compensation. Employees enjoy 13 paid holidays, which increase with seniority, along with 12 paid sick days and 12 paid vacation days that also grow with their tenure. FLAP provides a diverse array of support options tailored to different circumstances. These include unpaid military leave, compensation for the wage difference during jury duty and witness subpoenas, paid funeral leave for immediate family members, near relatives, and close friends, the availability of up to 2 personal days annually after completing one year of service, and other leave options, extendable up to 30 calendar days, subject to approval by the bilingual chief executive officer. FLAP provides mileage reimbursement for job-related travel at the IRS rate and reimburse meal expenses for travel. To support remote work needs, FLAP offer up to $50 per month in reimbursement for expenses such as internet use. Additionally, FLAP provides professional liability insurance, general liability insurance, and coverage for Social Security, unemployment, and workers' compensation. The starting annual salary is $85,000 and can go up depending on skills and relevant experience. Employment Status: Full-Time-Exempt.

 

Reports to: Bilingual Chief Executive Officer.

 

Location: Currently, all FLAP staff are working remotely, as well as traveling in their assigned areas engaging in community outreach and education, attending community meetings and events. During the interview process, FLAP will provide further expectations for the OFM once the organization transitions to return to FLAP’s offices.

 

 

Physical Demands: The OFM will operate normal office equipment, use a computer and phone for extended periods of time, and carry and set up equipment. Manual dexterity is required. The FOM must possess normal vision or correctible to within normal ranges.

 

Background: FLAP is a 501(c)(3) non-profit organization, at an exciting point in its growth, committed to improve working conditions and opportunities for low-income workers and their households in the cannery, farming, greenhouse, landscaping, meat, nursery, packinghouse, poultry, restaurants, and snow plowing industries. The organization carries out its mission through advocacy, community outreach and education, legal services, community legal education, information and referrals, partnering with other organizations to fight human labor trafficking, preventing family separations by helping immigrants secure dual citizenship for their children and facilitating access to cash transfers to very low-wage populations. FLAP provides these services free of charge and without regard to immigration status. FLAP does not receive funding from the Federal Legal Services Corporation.

Responsibilities:

Operations: 

  • Serve as facility manager for the day-to-day operations of FLAP;
  • Maintain and destroy paper and electronic files, implement and maintain office equipment plan, including project management systems, hardware, software, order office supplies, mailing and delivery services, and other basic tools for daily operations;
  • Ensure FLAP’s network is functional, and work with the communications team to make sure the organization’s social media platforms and website is updated; 
  • In cooperation with the organization’s consultants, the operations and finances team, prepare programmatic grant reports, administer and execute grants ensuring compliance with governmental agencies and regulations (including private foundations, city, counties, state and federal funding, CCH, IDHS and ILA2J);
  • Present information on FLAP services at meetings, and participate in local task forces. 

 

Human Resource and Staff Management: 

  • Perform all human resources functions. This includes recruiting processes, on-board new staff to the organization; coordination, personnel records maintenance, evaluations, terminations, benefits administration, job description updates, approval of timesheets and ensuring the organization functions within all established policies and guidelines;
  • Draft necessary procedures for best practices;
  • Establish a comprehensive training program to educate employees regarding staff tools, policies and procedures; and improve staff retention;
  • Develop new ways to promote teamwork and collaboration across the organization, and keep morale high across all stakeholders; 
  • Manage worker classification compliance efforts. 

 

Financial Oversight and Performance

  • Collaborate with the CEO and other staff in the drafting and execution of budgets and financial reporting requirements;
  • Identify cost-effective investment of resources;
  • Recommend additional savings by making strategic choices, prioritizing needs, consolidating contracts, and driving efficiencies;
  • Submit daily deposits, maintain and manage petty cash, prepare and reconcile daily cash balances, and perform accounts receivable and payable tasks as needed;
  • Work with the organization’s accounting, auditor and other consultants, directing finances, audit, payroll and managing QuickBooks;
  • Supervise staff, interns and volunteers 
  • Submit finances reports and assist with additional tasks as directed by the Bilingual Chief Executive Officer. 

 

Qualifications

  • Professional operations, accounting and financial management experience at a non-profit organization;
  • Ability to work against tight timelines, operate with a sense of urgency, perform under pressure to meet deadlines and answer e-mails; 
  • Experience with fund-or project-based accounting and managing restricted grants and assets;
  • Ability to translate financial concepts to -and to effectively collaborate with- programmatic and fundraising colleagues who do not necessarily have finance and/or operations backgrounds;
  • Technology savvy with experience overseeing information systems and infrastructure, including hardware, software, and accounting/finance applications; 
  • A successful track record in setting priorities; keen analytic, organization, and problem-solving skills which support and enable sound decision-making;
  • Excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders;
  • Ability to multi-task and wear many hats in a fast-paced environment;
  • Ability to work with people of diverse economic, educational, and social backgrounds, while demonstrating a commitment to social justice and immigrant rights.
  • Ability to document facts carefully, maintain confidentiality of information, work independently and with CEO and staff to meet deadlines; 
  • Demonstrable computer skills with the internet, e-mail, Microsoft Office, Windows, Microsoft Word, Excel, Outlook, QuickBooks, Salesforce, Zoom, HubSpot, and other programs.
