Volunteer Coordinator/Manager

The Colorado Railroad Museum seeks a friendly, creative, and organized individual to oversee its expansive Volunteer Program. This individual oversees all aspects of the Volunteer Program including recruitment, training, placement, record keeping, and supervising volunteer staff. The Volunteer Coordinator also works closely with the Event Manager to ensure that all volunteer positions for staffing events are filled and directly supervises these volunteers.

 

Position: Volunteer Coordinator/Manager

Schedule:  Full-time, 40 hours/week; flexible schedule but typically Wednesday through Sunday days or Tuesdays through Saturdays, early morning, evening and holiday hours as necessary 
Rate:   $46,000 to $50,000/year

Reports to: Director of Operations

 

Responsibilities and Essential Functions

  • Manage all aspects of the Museum’s volunteer record keeping and communications software programs, including Volgistics and MyEmma, to build volunteer positions, manage scheduling, communicate with volunteers, maintain data and track volunteer progress.
  • Coordinate and support other paid staff volunteer leads
  • Coordinate and/or assist with  staff supervision of volunteers and volunteer projects on the grounds
  • Work with staff to plan and organize annual Volunteer Recognition Banquet
  • Post job descriptions for all volunteer positions
  • Plan and organize quarterly Volunteer Fairs and subsequent Volunteer Orientations
  • Works directly with Event Manager and other staff members as appropriate to facilitate Day Out With Thomas™ and POLAR EXPRESS™ Train Ride and other Museum special events
  • Recruits new volunteers and seeks out new opportunities to source volunteers
  • Works with agencies to coordinate and schedule community service work force
  • Oversee community service volunteers and monitor their projects
  • Work with Jefferson County Adult Education to manage their work force
  • Coordinate with Director of Membership to track and notify volunteers who earn annual memberships
  • Other duties as assigned

 

 

Job Requirements

  • Ability to communicate with guests, co-workers and volunteer team members in a direct, respectful and confident manner.
  • Takes initiative in problem solving situations and works well independently.
  • Ability to lead on-going groups of volunteers in a way that is supportive and keeps them focused and engaged.
  • Familiarity with volunteer tracking data bases, like Volgistics.
  • Ability to adjust to shifting job duties, responsibilities and priorities.
  • College degree, preferably BA in Business or Hospitality Management or other Museum related field OR a significant amount of experience in volunteer management, event planning and coordination.

  • Ability to move, transport, position, load, unload and set up materials and equipment (up to 50 lbs.). 
  • Ability to climb stairs and negotiate ladders
  • The ability to remain in a stationary position for extended periods of time (up to 8 hours). 
  • While performing the duties of this job, the employee is required to move about the Museum, spend significant amounts of time outdoors, and communicate with guests, including young children.

 

Work Environment

 

  • This position operates in busy indoor and outdoor environments; crowds and moderate to very noisy sound levels are common. 
  • Associated outdoor duties are required for opening and closing and for other necessary activities as well; these activities may involve exposure to rain and snow, extreme temperature variations, and smoke/exhaust fumes from coal burning steam locomotives and other rail and road and off-road vehicles.

 

Additional Information

  • This position is subject to a probationary period not to exceed six months.
  • Minimum age: 21
