(Sandy Springs Office Location, Full-time)

Fisher Phillips, a premier international labor and employment law firm, is seeking an Office Coordinator to support our Service Center office located in Sandy Springs, GA. The Service Center is home to the administrative departments that support the firm across the country. In this essential role, you will contribute to the seamless operation of our services, providing crucial support to our department in delivering exceptional client service and maintaining our commitment to excellence.

 

Key Responsibilities

The Office Coordinator manages the office to ensure it aligns with the business objectives of the firm. This position works collaboratively with others in a team-oriented environment.

 

Office Management

  • Serve as the onsite liaison between the firm and building management, handling all requests for maintenance and other tasks as needed.
  • Oversee the dynamic seating process using OfficeSpace software and ensure reserved offices are ready each day for occupation.
  • Assist with office monthly lunches or other planned events for the team.
  • Work closely with Accounting, Facilities, IT, and other departments with additional needs that may require assistance with ongoing daily tasks or short/long-term projects.
  • Help process all new hire gifts and send out appropriately to remote employees.
  • Sort, log, process and deliver incoming mail and packages.
  • Handle distribution of intra-office mail.
  • Process outgoing mail, including FedEx and UPS.
  • Assist in setup of offices and work areas for all employees.
  • Oversee reservations system for conference rooms including setup and breakdown for meetings.
  • Order, maintain and distribute inventory of all office supplies and kitchen supplies.
  • Regularly assist with maintaining a clean and organized office including conference rooms, kitchens, copy rooms and dynamic seating offices.
  • Greet clients and visitors.
  • Display good judgment in handling confidential information.
  • Portray a professional image through appropriate grooming and business attire.
  • Properly prioritizes work assignments and handle multiple assignments and/or deadlines while maintaining a professional demeanor and timely seek assistance when needed.
  • Offer assistance to others when needed.

  • Attendance & Punctuality: Expected to be reliable, punctual and in the office each workday. Arrive at meetings and appointments on time and ensure work responsibilities are covered when absent.
  • Communication: Possess excellent verbal and written communication skills
  • Customer Service: Respond promptly to requests for service and assistance
  • Dependability: Follow instructions, complete tasks timely, commit to the hours necessary to complete assignments and be able to work independently
  • Professionalism: Approach others in a tactful manner, treat others with respect and react well under pressure
  • Teamwork: Contribute to building a positive team spirit and support everyone’s efforts to succeed
  • Technical Skills: Possess strong PC skills, ability to use phone system, voicemail system, copier, scanner, and printer, including software knowledge of Microsoft Office, document management systems and scanning functions.
  • Must be physically able to lift boxes and packages up to 30 pounds
