Contract and Vendor Management Intern

Summary

  • The Contract and Vendor Management Intern is an entry-level role that reports to the Director, Contract and Vendor Management and will be involved in auditing and analyzing vendor contracts, generating spend reports, supporting the implementation of the new CLM system, and ensuring smooth integration of current tools with the new systems. The Intern will gain hands-on experience in data analysis, contract management, and project coordination. The Intern will liaise cross-functionally with colleagues in RDSO, R&D, Procurement and Legal. The role may involve participation in RDSO projects or initiatives and will assist in developing dashboards to assess R&D vendor contract status. 

Essential Functions

  • Analysis of R&D Vendor Contracts 
    • Audit PO vs. Contract Terms: 
      • Verify open Purchase Orders (POs) align with contract terms, i.e., payment terms, expiration date and contract value. 
      • Monitor and ensure timely closure of POs. 
      • Analyze remaining PO balances and track expiration dates. 
      • Ensure all financial trackers are current and accurate. 
  • Generate Dashboards: 
    • Support the creation and updating of dashboards by department, vendor, category, and dollar amount. 
    • Analyze data to identify trends and insights. 
  • New Contract Lifecycle Management (CLM) System Support 
    • Audit R&D Contracts 
      • Identify unassigned R&D contracts in the Ariba system and ensure proper tracking and assignment. 
      • Verify that all open R&D contracts are included in the new CLM system. 
  • Process Support 
    • Assist in building dashboard reports to support R&D contract management and financial tracking. 
    • Help identify and develop process guidelines. 
  • Assist With Tool Alignment and Integration 
    • Align Smartsheet with the new CLM system if appropriate. 
    • Ensure unassigned R&D contracts in Ariba are uploaded accurately in CLM. 
    • Help in integrating external tools, such as Spotfire, and identify other potential applications for improved functionality. 
  • Support/Documentation of New Tools 
    • Document and update internal processes and tools related to the new CLM system. 
    • Assist in identifying underutilized features within the CLM system and recommend opportunities.

Minimum Requirements

Education / Experience / Skills:

Education

  • Currently enrolled in a bachelor’s or master’s degree program in Business, Finance, Project Management, Data Science/Analytics, or a related field.

Skills

  • This internship does not require formal work experience; we value a strong academic background and a willingness to learn. 
  • Strong analytical skills with the ability to interpret data and generate actionable insights. 
  • Excellent attention to detail and organizational skills. 
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUP, etc.) and basic data visualization. 
  • Familiarity with contract management systems (e.g., Ariba, Smartsheet) is a plus. 
  • Ability to work collaboratively and communicate effectively across teams. 
  • Proactive, self-starter with a strong desire to learn and contribute to project goals.
