Office Manager
Job description
AirWay is looking for an ambitious, energetic, organized and detailed individual who wants to learn and be part of a growing team. As the Office Manager you will oversee the day-to-day operations of the office environment and provide daily support for our Sales department. Ideal candidate could potentially advance into a Sales position within 1-2 years. Previous experience is not required.
Office Manager Duties and Responsibilities
Sales Department Support:
- On a daily basis, create/update and distribute Events, Sales Orders, RMA’s and other related documents in our internal systems. Communicate with the shipping department for same day shipments.
- Schedule and coordinate all off site sales meetings.
- Provide sales with requested promotional items and handouts for customer visits.
- Coordinate registration for all trade shows and work closely with the Logistics Coordinator for expedited delivery of items needed for trade show booths.
- Maintain a supply of handout materials.
- Assist in formatting and copying important documents for our customers.
General Office Responsibilities:
- Answer all inbound calls and forward to the appropriate employee.
- Greet all customers, vendors and other guests in the lobby and ensure COVID-19 visitor documents are completed and kept on file. Provide refreshments and lunch upon request.
- Maintain and replenish supplies for coffee, tea, bunker, paper products and cleaning supplies.
- Order all office supplies and business cards required.
- Provide email correspondence to the Company as it relates to office guests, special in-house company events and birthday announcements.
- Update and distribute the Company phone directory as needed.
- Set up new hire desks.
- Clean vacated desks after an employee termination or resignation. Ship personal items to the same (if necessary).
- Maintain the supply of Company promotional items and work with the VP of Sales on new promo selections and quantities desired
General Support:
- Coordinate and manage correspondence/activity with pest control company for the building.
- Monitor the general condition of the office areas and coordinate any maintenance and repairs that may be needed.
- Lead our internal team to plan and coordinate special events
Requirements and Qualifications
- Organization and the ability to multitask to complete a wide variety of tasks
- Attention to detail to ensure tasks are completed thoroughly and correctly
- Strong written and verbal communication skills
- Time management skills and the ability to prioritize work
- Strong interpersonal skills to interact positively with all employees
- Positive attitude, self-motivated, eager to learn, curious and confident to make new relationships
- Familiarity with the Microsoft Office Suite
- College degree would be a plus
- Spanish speaking skills would be a plus
Job Type: Full-time
Pay: $42,000.00 - $45,000.00 per year
