We are seeking a proactive and detail-oriented Event Intern to join our Office of Innovation team. Reporting directly to the Event Planner II, you will play a crucial role in ensuring the seamless execution of events and optimizing the event experience for our clients. Your responsibilities will encompass a wide range of tasks, including client meetings, event preparation, setup, takedown, event space management, and administrative support.

 

Responsibilities:

  1. Collaborate closely with the Assistant Event Manager to assist with event experience, including meeting with clients, showcasing event spaces, and addressing client needs.
  2. Take ownership of event preparation, ensuring all necessary materials and resources are organized and ready for use.
  3. Facilitate event setup and takedown, including pre-event setup and post-event cleanup to maintain a clean and welcoming environment.
  4. Conduct thorough walkthroughs of all event spaces to identify and address any logistical or operational concerns.
  5. Proactively restock event-related materials, ensuring availability throughout the duration of events.
  6. Maintain organization of files and data using Airtable and Dropbox, ensuring easy access and retrieval of information as needed.
  7. Assist in coordinating logistics for events, including coordinating with vendors, managing equipment rentals, and overseeing delivery and setup.
  8. Provide administrative support as needed, including scheduling meetings, preparing documents, and responding to inquiries.
  9. Collaborate with team members to brainstorm ideas and contribute to the continuous improvement of event processes and procedures.
