Office Assistant

The Town of Needham is seeks applicants for the full-time position of Office Assistant. Under the general supervision of the Assistant Town Treasurer/Collector, the Office Assistant serves as the first point of contact for residents when paying for taxes, parking tickets, and other Town services. This position provides excellent customer service to residents and clerical support to the office.

 

This entry-level position is ideal for candidates who possess knowledge of office applications, computer applications, and payment intake with great communication skills.


Anticipated Schedule
Mondays, Wednesdays, Thursdays from 8:00 a.m. - 5:00 p.m.
Tuesdays from 8:00 a.m. - 6:00 p.m.
Fridays from 8:00 a.m. - 12:30 p.m.

Duties and Responsibilities

  • Performs cashiering functions including collection and processing of payments for taxes, Town services, etc.
  • Records cash receipts and prepares related reports.
  • Enters data into computer regarding payments received in mail, including parking tickets, garbage and RTS bills, fire alarm charges.
  • Records weekly payroll and monthly pension payments from check register; calculates totals for manual checks and reconciles with payroll.
  • Prepares accounts payable checks for distribution.
  • Administers the front desk receiving, screening, and directing phone calls, visitors, and correspondence to appropriate personnel.
  • Provides general information and reception service for the department.
  • Provides clerical assistance to the department.
  • Assists with agenda preparation and other analysis and reports for the department, as needed.
  • Provides effective and efficient customer services and promotes and maintains responsive community relations.

 

Requirements

The following requirements may be substituted by any equivalent combination of education, training, and experience which provides the necessary knowledge, skills, and abilities required to perform the job:

  • High school, plus elementary technical training, acquired on the job or through one year or less of technical or business school.
  • Between one (1) and three (3) years of related experience.
  • Knowledge of office administration, computer skills, basic bookkeeping, and automated office systems and procedures.
  • Ability to communicate clearly and concisely with others, both verbally and in writing with strong interpersonal and telephone skills.
  • Municipal experience preferred but not required.
