Assistant to the Preschool Principal

Pay Range: $50,000 - $65,000 Annually Dependent on Experience

Your Role.

 

The Bear Creek School is currently seeking to add a member to our administrative team! Under the direct supervision of the Division Head this position provides administrative support for the Division Head, and the division. Performs duties such as scheduling, maintaining the calendar, communicating with a wide variety of people, working on special projects, coordinating events etc. Independent judgment is required to plan, prioritize, and organize a diversified workload.

We are seeking an individual who will…

  • Support the Division Head with administrative details and scheduling of appointments and meetings
  • Compose, type and edit emails, letters, newsletters, agendas, presentations, and other documents
  • Create and maintain a file structure for all Preschool documentation and related files year over year.
  • Design and keep up to date the Preschool Homepage
  • Communicate with a wide variety of stakeholders: teachers, students, parents, staff members, outside vendors
  • Plan, organize, and coordinate various preschool events 
  • Design and calendarize yearly specialist schedules for all Preschool classes
  • Assist with student drop off and pick up
  • Purchase and manage supplies for division including curriculum and reconcile purchases with receipts and allocated budget
  • Occasionally provide 1:1 assistance to students 
  • Perform other related duties as assigned by the Division Head and that may include some evening and morning events
  • Provide support to faculty, including student information, in-house field trips, carpool procedures, forms, information distribution, and input for teacher newsletters.

Support events by completing necessary reservations, calendaring, and disseminating information

  • Liaise with Cubs Club vendors and manage yearly Cubs Club scheduling, registration and coordination.
  • Maintain carpool system student database.
  • Manage scheduling of substitutes in emergencies and track absences in the absence management system.
  • Identify, report and track facility needs.
  • Support Preschool Admissions activities


Athletics Assistant Responsibilities (8-10 Hours per a week will be spent on special projects as assigned):

  • Create and track seasonal rosters per sport per team.
  • Capture sport and student information into FinalForms.
  • Keep WPA up to date with all sports and rosters.
  • Provide rostering information to Marcom for each volleyball and basketball home game.
  • Create certificates, awards, and letterman inserts for end-of-season sports.
  • Track and reconcile purchases made on Athletics and Golf credit cards.
  • Update trophies for the trophy case.
  • Make hotel bookings for traveling teams.
  • Coordinate and collect balloons and flowers for athletic events.
  • Assist Athletic Director with ad hoc administrative tasks.

 

The successful individual in this position will:

  • Execute things independently when needed and work cooperatively with a team regularly.

 

Required Experience and Education.

  • High School Diploma required
  • Currently held CPR/AED/First Aid Certification (with Epinephrine Auto Injector supplement included), or arrangements made to obtain certification within 90 days of employment start date.
  • Applicants must be currently authorized to work in the United States for any employer. No sponsorship is available for this position.

You must meet the following physical requirements.

  • Work in a highly engaged environment dealing with a variety of creative challenges, tasks, deadlines, and personalities
  • May work at a desk and computer for extended periods of time
  • Regularly use close and distance vision
  • Occasionally lift up to 30 pounds
  • Work in a traditional climate-controlled office environment with occasional visits between campus buildings, requiring exposure throughout the day to the outside elements
