We are seeking an individual who is Committed, Kind, Knowledgeable and Respectful to assume the Administrative Scheduler position and be a part of an excellent team!
SUMMARY OF POSITION
In accordance with the mission and values of The Village of St. Edward, the Administrative Scheduler is responsible for the scheduling of staff in the assisted living/memory care department. This individual is also responsible for other clerical and record keeping duties as well as follow attendance program guidelines.
Qualifications:
- High school graduate or equivalent preferred
- Experience with scheduling preferred.
- 1-2 years’ experience working in a long-term care facility, assisted living, or in a geriatric setting preferred
- Must possess strong organization and verbal and written communication skills.
- Working knowledge of Microsoft Office products and excellent typing skills.
- Must be able to learn computer systems quickly
- Knowledge of all types of office equipment, e.g., copy machine, scanners
- Minimum age 18 years of age
- Must be able to bend, stoop and reach at different angles.
- Possess the necessary dexterity to operate communication platforms and other office equipment.
- Walks, sits or stands intermittently throughout the day.
- Must communicate well with staff, residents, families and the public on a personal basis (written and oral)
- Excellent interpersonal skills
- Excellent problem-solving skills
- Multitask calmly and efficiently in a high-stress and fast-paced environment
- Must have patience, tact, cheerful disposition and enthusiasm and must be able to work effectively with people.
- Excellent filing and excellent organizational skills.
Follow all Infection Control practices.
Must have reliable transportation.
Essential Duties and Responsibilities (not an all-inclusive list):
- Creates and maintains an accurate schedule for nurses and aides (STNA and Resident Assistants) in timekeeping system as well as on daily sheets
- Schedules floor staff within the staffing guidelines and employment statuses per policies
- Completes accurate daily nursing direct care staffing form
- Completes data entry into the time and attendance system timely and accurately
- Responds professionally and in a timely manner about schedule needs
- Interacts with staff members and processes call offs, holiday schedule changes, operational re-assignments, staff member swaps, and staff member movements accurately within timekeeping system and daily schedules.
- Uses all abilities and resources in a professional manner to replace when call-offs occur (i.e. Utilizes SARA system and online job boards to fill open shifts appropriately).
- Reviews timecards and attendance points in the time and attendance system timely and accurately. Assists with payroll completion and prepares various payroll reports.
- Follows established Attendance Program guidelines accurately.
- Communicates effectively and works closely with Nurse Management Team.
- Orders supplies if applicable.
- Assists with all filing as needed and distributes copies as requested.
- Keeps forms current and available for use for staff in the AL/MC departments.
- Attends required in-services and meetings for assisted living/memory care and facility.
- Follows established policies of the facility.
- Prioritizes job duties; handles stressful situations effectively.
- Maintains a constant focus on excellence in the facility.
- Complies with the Health Insurance Portability and Accountability Act (HIPAA) which ensures that the resident’s individually identifiable health information or Protected Health Information (PHI) is kept confidential.
- Performs other job-related duties as assigned.
- Supports the philosophy of person-centered care (PCC) by actively participating in the person-centered care process. Fosters development and enhancement of person-centered care practices.
