RECRUITMENT ANNOUNCEMENT
JOB TITLE: Student Information Systems Assistant (172)
WORK YEAR: Full time: 7.5 hours per day/Monday – Friday, 8:00 am – 4:00 pm/12 months/260 days annually (Prorated upon hire)
START DATE: As soon as possible after interview
SALARY: Salary Schedule 6A, Range 13, $21.26-S31.43 per hour. Placement is dependent on experience. Annual stipend pay: Associate's $250, Bachelor's $400, Master's $750, or Doctorate $1,000 (Prorated upon hire)
BENEFITS: Generous benefits package that includes Medical, Dental, and Vision for employee and dependents. Vacation and sick leave accrued. 16 paid holidays annually. Employer-paid life insurance. This position qualifies for CalPERS retirement. The employee contribution rate for CalPERS is either 7% or 8% of monthly earnings depending on the membership date. This position also contributes to Social Security. The contribution rate for Social Security is 6.2% of monthly earnings.

POSITION DESCRIPTION:
Under the general supervision of assigned management employee(s), this classification performs a wide variety of general and complex clerical duties requiring the exercise of independent judgment in applications and interpretation of rules, regulations, and procedures; provides technical information and current data to administrators and office staff; acts as a liaison between other staff regarding student enrollment data within the Student Information Systems (SIS) and the California Longitudinal Pupil Achievement Data System (CALPADS); assists in examining and checking the accuracy of student records and enrollment data. Serves as a resource to school-based staff related to the operation of student information systems, programs, retrieval, and the input of student data.
EXAMPLE OF DUTIES: [May include, but not limited to the following.]
- Operate computer for the purpose of all data entries, data editing, and retrieval
- Receive, sort, and file correspondence, documents, and records
- Prepare reports and maintain complex and confidential student records
- Provide clerical support to the office as necessary
- Assist district school staff with inquiries regarding student record systems
- Review and verify the accuracy of records maintained in the district's SIS and the CALPADS systems
- Answer inquiries regarding student records and student enrollment
- Assist in providing necessary training on the policies and procedures used in completing student records
- Participate in planning and supporting the development of new documentation procedures and keeping current on state guidelines related to CALPADS
- Attend County Office and State-mandated training programs
- Maintain knowledge of current state and governmental agencies’ reporting requirements
- Provide other support to educational departments as deemed necessary by their supervisor
QUALIFICATIONS:
Knowledge of:
- English usage, spelling, grammar, and punctuation
- Modern office methods, procedures, and computer equipment, including computer hardware and software necessary for the efficient operation of office/program
- Methods and procedures of recordkeeping and filing
- Excel software application and formulas
Ability to:
- Communicate clearly and concisely, both orally and in writing
- Perform a broad variety of general clerical work independently, including filing and recording information on records
- Perform simple mathematical calculations accurately
- Work independently with minimal supervision
- Understand and carry out oral and written directions
- Establish and maintain effective working relationships
- Perform the physical requirements of the job with reasonable accommodations
- Learn various databases, and apply new knowledge as systems change
- Use various computer hardware systems, software applications, and Student Information Systems used by the County Office (e.g., Microsoft Office, Zoom, Word, Google Suites, Aeries, SEIS)
- Meet deadlines and schedules
- Work with detailed information/data
EDUCATION AND EXPERIENCE:
- Graduation from high school or equivalent
- Experience that indicates possession of the knowledge and skills necessary to perform the duties listed above
- Two (2) years responsible clerical office experience
- Student Information Systems (SIS) knowledge, preferred
