Human Resources Assistant

The HR Assistant will provide essential support to the Business Services staff throughout the employee life cycle, facilitating a variety of HR processes and initiatives.

Responsibilities:

  • Provide support to Business Services staff throughout various stages of the employee life cycle.
  • Monitor and respond to the HR email inbox and hotline, addressing general inquiries (e.g., employment verifications, policy questions, bereavement requests) and escalating as needed.
  • Assist in coordinating the performance management processes on ViDesktop for Business Services staff.
  • Facilitate scheduling and logistics for new hire and annual workplace respect training across all U.S. offices.
  • Support the off-boarding process for voluntary leavers and consultants within Business Services/Paralegal teams.
  • Oversee and manage the PIN program in collaboration with the Senior Manager of HR Administration, including coordination of onboarding, training sessions, and event planning.
  • Help organize employee recognition initiatives, such as Administrative Professionals Day and milestone gifting.
  • Prepare and send correspondence from HR-related inboxes.
  • Provide assistance during year-end promotion and compensation processes.
  • Assist senior HR staff with projects and initiatives as assigned.
  • Update and maintain departmental and office organizational charts on a semi-monthly basis.
  • Maintain employee personnel and I-9 files in accordance with compliance standards.
  • Process departmental invoices and expense reimbursements.
  • Other duties and projects, as assigned.

Qualifications:

  • Bachelor’s Degree required.
  • Proficient Microsoft Office Suite (Word, Excel, PowerPoint, Visio)
  • Exceptional attention to detail with strong organizational skills.
  • Excellent written and verbal communication abilities.
  • Strong time management and prioritization skills.
  • Able to work independently and collaboratively within a team.
  • Adaptable to shifting priorities in a fast-paced, high-pressure environment.
  • Prior experience in Human Resources preferred
  • Willingness to work overtime as needed.

This position will require physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation range for this position is $50,000 - $60,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
