Job Description:

 As the Personal Assistant to the CEO, you will provide comprehensive administrative support and manage multiple tasks to help the CEO stay organized and efficient. You will be involved in a wide variety of activities, including organizing meetings, events, and travel arrangements, as well as managing communications and facilitating negotiations. The ideal candidate will possess a positive attitude, a can-do approach, and exceptional interpersonal skills, able to build relationships across all levels of the organization while maintaining confidentiality and professionalism. 

Key Responsibilities:  

  • Executive Support: Manage the CEO’s calendar, schedule meetings, appointments, and conferences, ensuring the CEO's time is optimized. 
  • Meeting and Event Organization: Coordinate and organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Help plan and organize events, conferences, and other company functions.  Communication Management: Screen and prioritize incoming emails, phone calls, and requests, ensuring timely responses and efficient handling of correspondence.
  • Travel Arrangements: Arrange travel, accommodations, and itineraries for the CEO, ensuring smooth and seamless travel logistics. 
  • Confidentiality and Discretion: Handle sensitive and confidential information with integrity and professionalism. 
  • Interpersonal Skills: Strong interpersonal skills and the ability to interact effectively with people at all levels, both inside and outside the organization. 
  • Problem-Solving: Assist in resolving any issues that arise in a proactive manner, finding effective solutions quickly and efficiently. 
  • Negotiation Support: Use strong negotiation skills to manage and facilitate discussions, agreements, and contracts on behalf of the CEO. 
  • Multitasking and Prioritization: Successfully balance multiple tasks, maintaining focus on priority items and ensuring deadlines are met. 
  • General Administrative Support: Provide day-to-day administrative support, including preparing documents, reports, and presentations for the CEO.

 Qualifications: 

 Experience:

  • Minimum of 3 years’ experience as a personal assistant, executive assistant, or similar 
    role, ideally supporting high-level executives or CEOs.
  • Interpersonal Skills: Strong interpersonal skills and the ability to interact effectively with people at all levels, both inside and outside the organization. 
  • Confidentiality: Must demonstrate a high level of discretion and professionalism when handling confidential information. 
  • Organizational Skills: Exceptional organizational and multitasking abilities with an attention to detail, ensuring that all tasks are completed accurately and on time.
  • Negotiation Skills: Strong negotiation skills with a proven ability to manage complex discussions and agreements. 
  • Positive Attitude: A can-do attitude and a passion for getting things done, even under tight deadlines. 
  • Problem-Solving: Strong problem-solving abilities, with a proactive approach to identifying and resolving issues. 
  • Tech-Savvy: Proficient in Microsoft Office Suite, Google Workspace, and various calendar and project management tools. 
  • Preferred: Experience in organizing large events and managing executive travel arrangements.
